PROJECTS OPERATIONS ADVISOR

FACULTY OF HEALTH STUDIES

NorQuesters are difference makers and we're searching for someone who can find ways forward in the support of the Faculty of Health Studies by providing advice, expertise, and support to functions including business planning, enrolment planning, timetabling, research and development of ideas or initiatives, business activity analysis, documentation, and evaluation of outcomes.

Reporting to the Manager Health Projects, Faculty of Health Studies, the Advisor brings a high level of business acumen to the area and uses their developed expertise within the portfolio to collaborate with the academic leader as a highly-valued partner, while also demonstrating the capability to work with peers supporting other portfolios, to determine synergies and needs across the division. In order to continually maintain and improve operations, this role guides the hands-on support provided by the Business Operations Clerk. Working with the Manager Health Projects, and the Project Control Specialist the Advisor reviews and edits any funding applications and proposals, supports clear communication of project outcomes, and works with the team to track student and projects success.

HOW YOU'LL MAKE A DIFFERENCE

  • Collaborate with Manager & Project Control Specialist in creating, implementing, analyzing, evaluating, documenting, and reporting business activities to meet outcomes of the Business Plan.
  • Create and lead a cycle of reoccurring business tasks that follows the academic year cycle and touches each part of operations.
  • Support area by managing calendars, commitments, and essential business activities that contribute to the success of the Program/Portfolio.
  • Lead asset and enrolment management to ensure targets are met to meet strategic goals including gathering information from faculty and staff regarding asset needs (human, capital, fiscal) and collaborating with Manager to activate a plan to meet needs by directing purchasing of program/portfolio equipment and supplies; providing analytic support to Manager for enrolment planning, monitoring, and evaluation.
  • Lead business activities that support credit and non-credit programming including timetabling, program development documentation, architecture changes, non-credit course market research and development, curriculum sustainment projects, PeopleSoft queries, and reporting.
  • Utilize Moodle expertise to create shells, maintain standards, and support academic leaders in curriculum maintenance scheduling.
  • Lead project management activities to ensure outcomes and initiatives of the Business Plan are met including researching new initiatives, creating project charters, leading groups of stakeholders to ensure milestones are met, assessing resource needs, writing proposals, briefing notes, contracts, and reports, and synthesizing evaluations for review by the manager.
  • Facilitate people in the area to work smarter, meet outcomes effectively and efficiently, and move the division forward in meeting strategic goals.
  • Support the Manager by coordinating and/or drafting award nominations or supporting recognition/engagement activities.
  • Prepare & edit project reports as required by the funder or as needed internally.
  • Follow up on contracts as they progress through contract control process.
  • Maintain an invoice tracking spreadsheet and notify Manager Health Projects of outstanding balances.
  • Coordination of China Joint International Nursing Program MS Teams classroom shells.
  • Assist with co-ordination of international stakeholder visits.
  • Maintenance of student and clinical site tracking documents.
WHAT YOU BRING
  • Business Degree is preferred. Consideration may be given to those with a Business Diploma and/or considerable relevant experience.
  • 1+ years' of similar experience in a post-secondary environment is an asset.
  • Familiarity with MS Office products; Word, Excel, Outlook. MS Teams, OneDrive and BI are an asset.
  • Familiarity with PeopleSoft suite an asset.

SALARY: $919.50 - $1,195 biweekly ($23,902 - $31,066 annually) reflective upon what you bring AKA your education and experience. This is a part-time (0.5 FTE) term position for one year and includes immediate access to our great benefits program.
