Job Description

The

Project & Warranty Coordinator

plays a key role in supporting our construction and development teams throughout all stages of a project , from pre-construction coordination through post-occupancy warranty service. This position ensures seamless communication between internal teams, consultants, trades, and clients, while maintaining meticulous records and driving project efficiency.

In addition to providing essential project administration support, the Project & Warranty Coordinator is responsible for managing homeowner and client interactions during the warranty period, ensuring that any issues are addressed promptly, professionally, and with a commitment to quality and customer satisfaction.

This position is ideal for someone who is highly organized, proactive, and comfortable juggling multiple priorities in a fast-paced environment. The role requires both technical precision and a customer-first mindset.

Key ResponsibilitiesProject Coordination & Administration



Manage communication and information exchange with internal teams, consultants, and trades to execute projects efficiently. Distribute drawings, specifications, submittals, RFIs, and site instructions, ensuring timely follow-up and tracking. Assist Project Managers with project administration, including budget preparation, cost tracking, and trade billing reconciliation. Prepare and issue tender packages, assist with evaluating sub-trade proposals, and draft subcontracts. Create and manage purchase orders and change orders in

Procore

, ensuring accurate documentation and approvals. Maintain detailed tracking logs for RFIs, submittals, shop drawings, and change orders. Support Lean Construction initiatives through documentation setup, process tracking, and continuous improvement practices. Provide general project support to the Project Management and Site Teams, expanding responsibilities as experience grows.

Occupancy & Closeout



Coordinate and compile documentation for occupancy, including permit applications, completion certificates, and turnover materials. Collect, review, and organize warranty documentation, homeowner manuals, and use & care guides for inclusion in turnover binders. Ensure all closeout documents are complete, accurate, and professionally presented to homeowners and property managers.

Warranty Coordination



Act as the main point of contact for homeowners and clients during the warranty period. Manage and track all incoming warranty requests, service calls, and deficiencies in

Procore

or equivalent software. Coordinate with trades, consultants, and site teams to assess, assign, and resolve warranty issues promptly. Schedule and facilitate 30-day, 6-month, and 1-year walkthroughs, preparing and distributing deficiency lists. Maintain warranty logs, communication records, and service documentation with accuracy and professionalism. Provide timely updates to homeowners, ensuring expectations are clearly set and satisfaction is maintained. Identify recurring issues or trends to help improve construction quality and warranty processes. Support management reporting by preparing warranty performance summaries and follow-up documentation.

Qualifications



3-5 years of experience in construction administration, project coordination, or warranty coordination (residential or multi-family experience preferred) Proficiency in

Procore

or similar project management software Strong Microsoft Office skills (Excel, Word, Outlook) Understanding of construction documentation, drawings, and specifications Valid driver's license and access to a vehicle (occasional site visits required)
