This position will be based on site in Edmonton, Alberta working Monday-Friday. The Project Support Admin will work closely with the Contract Management team working on routine assigned tasks which are tactical and administrative in nature. The Project Support Admin will be supporting the Contract Management Specialists and Contracts Team as a whole.

Day-to-Day Duties:

  • Establishing and maintaining filing systems (electronic and hardcopy).
  • Receiving, distributing, and filing of correspondence from Contractors.
  • Supporting Contract Administrators in the preparation and distribution of Meeting Minutes and other correspondence.
  • Providing support to the Contract Administrators in the tracking, expediting, collecting and collating contractor\'s daily, weekly and monthly reports and other regular data submissions.
  • Inputting and updating data contained in internal contract management software system (CMSi).
  • Preparation of contract reports (under guidance).
  • Supporting Contracts Administrators in verification of monthly contractor invoices.
  • Other administrative duties as required
Basic Job Requirements
  • A combination of education and directly related admin experience equal to six (6) years; some locations may have additional or different qualifications in order to comply with local requirements
  • Proficiency with Microsoft Office Suite (Word, Excel, Access, PowerPoint) and Adobe Acrobat.
  • Ability to handle multiple tasks simultaneously
  • Ability to communicate effectively with audiences that include but are not limited to management, coworkers, clients, vendors, contractors, and visitors
  • Ability to attend to detail and work in a time-conscious and time-effective manner
  • Stay current/updated with Contract Management practices and procedures; remain informed of current developments and potential changes within the Contract Management group
  • Participate in Fluor University\xc2\xae for training and career development
Preferred Qualifications
  • Ability to provide thorough and skillful administrative support
  • Strong organizational skills
  • Strong Microsoft Excel skills and attention to detail
  • Ability to multi-task and prioritize to achieve project goals
  • Flexibility to handle multiple routine and non-routine tasks on a daily basis
  • Ability to learn contract management work processes and perform related tasks
  • Ability to create and maintain tracking logs and lists
  • Experience in creating expense reports
