Job Description

We are seeking a highly proactive, organized, and execution-focused leader to join our fast-paced real estate environment. This role is less about creative design and more about leading through structure, accountability, and operational excellence. You will serve as the "integrator" for the business, directly responsible for the clarity, technical integrity, and flawless execution of all marketing and business systems.
Project Management Frameworks (35%)

• You must live and breathe project management. This is the single most important skill for this role.
• You need to have an expert-level command of Trello to manage all marketing and operational workflows.
• You must be able to build boards, set dependencies, enforce timelines, and ensure no task falls through the cracks.

Internal Systems Optimization & Reporting (20%)

• You will act as the owner of our tech stack. You are responsible for the health and integration of Zapier, Mailchimp, Trello, CRM, and AI tools.
• As a result, you will have the ability to build and maintain automations (e.g., Zapier zaps) that connect our tools, ensuring data flows automatically between systems without manual entry.

Content & Schedule Management (15%)

• You will have full ownership of the master schedule for all critical external activities, you will also be the creator of it!
• As a result we would expect full management of all marketing logistics.
• You will ensure deliverables are ready before the deadline and if not, you know how to troubleshoot solutions quickly.

CRM Management & Execution (10%)

• You will take complete ownership of the CRM system.
• You will ensure data integrity, optimize workflows for agent usage, and ensure the team is utilizing the system to its full potential.

Marketing Event Planning & Execution (10%)

• You will lead the logistics for community and client events.
• You will translate the vision for an event into a concrete checklist and execute it on the day of, ensuring a seamless experience.

Website Updates (5%)

• You will oversee basic website maintenance and content updates to ensure our digital storefront is current.

Marketing Agency Management (5%)

• You will oversee external agencies responsible for specialized services (SEO, SEM, Google Properties). You will ensure they are delivering on their contracts, but this is a monitoring role, not a doing role.

The Team

• You will mentor and lead the Digital Marketer on the team - providing clear, structured assignments for day-to-day execution.
• You will collaborate with the Office Manager, Executive Assistants, and Agents to align operational execution across the entire organization.

Qualifications

• 5+ years in a high-velocity role encompassing operations, project management, and marketing execution.
• Deep familiarity with PM frameworks (specifically Trello) and a track record of driving complex projects to completion.
• High technical fluency: Direct experience managing or implementing platforms like Zapier, Mailchimp, and CRMs is non-negotiable.
• A "Business-Owner" Mindset: A strong "Get Things Done" work ethic. You are a leader who drives results through structure, clear accountability, and operational clarity.

$110,000 - $120,000 a year
