Position Title: Project Management Professional (PMP) Director
Location: Eyes Childcare
Reporting To: Executive Director / Board of Directors
1. Role Overview
The PMP Director will lead the planning, execution, monitoring, and closure of key strategic projects at Eyes Childcare, with a special focus on the Canada-Wide Early Learning and Child Care (CWELCC) application and compliance processes. The director is expected to foster collaboration among stakeholders, ensure clear and effective communication, track timelines, and follow up on all deliverables across departments.
2. Key Responsibilities
A. Project Management
Develop and maintain detailed project plans, timelines, and milestones for childcare initiatives and expansions.
Oversee end-to-end lifecycle of key projects including CWELCC, licensing, renovations, and new centre development.
Conduct risk assessments and mitigation planning.
Monitor and report project progress to leadership weekly.
Ensure project deliverables are met within budget, scope, and schedule.
B. CWELCC Application Management
Lead and oversee the CWELCC funding application and renewal processes.
Coordinate with finance, operations, and external consultants to ensure accurate data submission.
Track and ensure compliance with CWELCC reporting requirements.
Maintain detailed documentation and correspondence related to CWELCC.
C. Communication & Collaboration
Act as liaison between project stakeholders, internal teams, and external consultants or government agencies.
Coordinate cross-functional teams to ensure project alignment and success.
Prepare and distribute internal memos, updates, and newsletters.
Maintain regular communication channels with all stakeholders.
Facilitate interdepartmental collaboration for shared objectives.
D. Meetings and Coordination
Schedule, coordinate, and lead project-related meetings.
Prepare meeting agendas, record minutes, and track action items.
Ensure timely follow-up on decisions and deliverables.
Attend government and regulatory body meetings (in person or virtual) as needed.
E. Email and Document Management
Manage all project-related correspondence and filing systems.
Track incoming and outgoing emails for follow-ups and compliance.
Maintain centralized communication archives for project continuity.
Draft professional communication materials (e.g., reports, letters, stakeholder updates).
F. Project Timeline & Follow-Up
Create Gantt charts or project calendars for internal visibility.
Set reminders and deadlines for key milestones.
Conduct weekly and monthly reviews to ensure tasks are on track.
Provide progress reports and risk flags to executive leadership.
3. Deliverables
Approved CWELCC application and compliance reports.
Monthly project status reports.
Gantt charts or equivalent project timeline documentation.
Meeting minutes with tracked action items.
Centralized and searchable project communication logs.
Post-project evaluation reports and lessons learned.

6. Reporting & Review
Bi-weekly check-ins with the Executive Director.
Monthly progress presentations to Board (if applicable).
Annual performance review based on KPIs including project completion, compliance accuracy, and stakeholder satisfaction.
Job Type: Full-time
Pay: $54,000.00 per year
