Job ID: 43437Job Category: Project ManagementDivision & Section: City Clerk\'s, City Clerk\'s Strat Protocol & Ext RelWork Location: City Hall, 100 Queen St W, Toronto, ON M5H2N2Job Type & Duration: Full-time, Temporary (12 months) VacancySalary: $86,500 - $108,459Shift Information: Monday to Friday, 35 hours per weekAffiliation: Non-UnionNumber of Positions Open: 1Posting Period: 25-MAR-2024 to 09-APR-2024Job Summary:Reporting to the Manager, Partnerships and Community Relations, the successful candidate will provide coordination and operational support on a range of community recognition projects and initiatives that support the strategic goals and objectives of Strategic Protocol and External Relations (SPER).As a member of the Community Recognition team, you will work with diverse communities, organizations, the diplomatic community and Members of Council to coordinate SPER\'s community recogonition programs including flag raisings, commemorative lighting program, and various other community focused ceremonies. You will also provide project coordination and support as needed.Major Responsibilities:

  • Implements detailed plans and recommends policies and procedures to coordinate SPER\'s community led recognition services including flag raisings, commemorative lighting program and other City-led community based initiatives.
  • Manages assigned projects from end to end, ensuring effective teamwork and communication, high standards of work quality and organizational performance and continuous learning.
  • Conducts research into assigned areas and prepares l briefing notes and supporting research documents as requested, ensuring research takes into account developments within the field, corporate policies and practices, legislation and initiatives by other levels of government.
  • Consults and works collaboratively with City partners and wide range of external stakeholder groups, including contacts with other jurisdictions, at the municipal, provincial, and federal levels, non-governmental organizations, and health service providers on joint projects
  • Identifies and monitors information on current affairs and geo-political issues, identifying possible impacts to the local community and the delivery of City services, specifically as they are impacted by community recognition services.
  • Ensures that project expenditures are controlled and maintained within approved budget limitations.
  • Supports community recognition initiatives including operational planning and preparedness, time service delivery, and post evaluation and documentation.
  • Provides project management tracking, research, meeting management, day-to-day coordination and technical support for meetings and activities of the community recognition team and any related working groups.
  • Acts as a resource person for inquiries about the City\'s community recognitions initiatives, responsibilities and activities.
  • Maintains an awareness of developments and advancements concerning the effective delivery of community recognition programs liaising with partners as appropriate and directed.
  • Assists senior staff with end to end project planning, coordination, implementation, administration and evaluation of short and long-term corporate initiatives related to the delivery of community recognition initiatives
  • Updates documentation regularly to support the operations of Community recognition team including coordination and support activities.
  • Monitors corporate and divisional games/event activities against objectives, timelines and milestones to support planning and operations.
  • Prepares briefing/presentation/meeting material for senior City officials as required
  • Represents the City at meetings with coordinating bodies and/or provides support to senior staff representing the City at such meetings.
  • Provides direction and composes content for the division\'s website (internal/external), working with Communication staff through design and production.
  • Supports and executes other special projects, as required (e.g. speeches, presentations, and events).
  • Recommends and implements security practices, privacy and quality assurance requirements consistent with MFIPPA and corporate standards regarding storage and processing of records.
Key Qualifications: * Post-secondary education in a discipline pertinent to the job function such Public Administration, Communications or Community Engagement combined with education and/or experience in Protocol, International Relations, Public Affairs, Diplomatic, Relations, Community Engagement or Event Management.
  • Experience in project management, planning, coordinating and evaluating civic ceremonies, functions and activities involving multiple stakeholders.
  • Demonstrated understanding of City\'s commitments towards reconciliation with Indigenous communities and equity deserving groups (i.e. Black, racialized and 2SLGBTQ+ communities) with the ability to embed equity and reconciliation considerations and priorities into program development, performance measurement and evaluation.
  • Demonstrated success in situations requiring a high degree of tact and sound judgement in dealing with sensitive and confidential information about cultural, political and diplomatic matters.
  • Experience working collaboratively in a diverse team environment, and implementing multi-faceted projects from inception to completion, employing excellent organization and project coordination skills, and the ability to work independently with minimal supervision.
  • Experience in project management, planning, coordinating and evaluating civic ceremonies, functions and activities involving multiple stakeholders.
  • Excellent communication and presentation skills with the ability to communicate complex information in a clear, concise manner that is targeted to and meets the needs of diverse audiences with different perspectives and objectives, both orally and in writing, to all levels of the organization, including the political level.
  • Sound judgement and demonstrated ability to handle crisis and/or emergency situations in a calm and professional manner.
  • Demonstrated commitment to customer service excellence and ability working in MS Office (e.g. Word, Excel, PowerPoint and Access), Collaborative software, and related programs which assist in the collection and management of electronic (e.g. Jira) and non-electronic data.
  • Ability to represent the City professionally, change focus quickly and adapt work habits/schedule to meet event/project requirements with strong attention to detail
  • Highly developed interpersonal, organizational, analytical problem solving and conflict resolution skills
  • Ability to understand impact of systemic issues as well as tangible actions required to address issues of immediate concern
  • Assists with the response to issues as they arise within projects and under close scrutiny by the media, the public and members of Council. Exercises sound judgement, integrity and fairness in dealing with sensitive and controversial matters.
  • Demonstrated ability to work calmly and effectively in a high-volume, high-stress environment with frequent and competing deadlines.
  • Monitors assigned budgets ensuring expenditures are controlled and maintained, including procurement oversight, project control systems, cost evaluation methodologies, and performance evaluation criteria in accordance with approved corporate limitations, policies and guidelines.
  • Ability to supervise and motivate all assigned staff if any, ensuring teamwork, high standards of work performance and completeness of all assigned projects
