Reporting to our Project Managers, you will support them by processing paperwork, maintaining files, and ensuring all project documentation is meticulously organized. The ideal candidate is diligent in document control and enthusiastic about expanding their knowledge of the construction industry.   • Project Support: Manage logistical details and ensure smooth operations by providing comprehensive support to project teams.
  • Document Control: Maintain meticulous records and process paperwork efficiently to ensure all documentation is accurate and up to date.
  • Permit Management: Ensure all required permits and licenses are applied for, approved, and kept up to date to comply with regulatory requirements.
  • Scheduling: Set up, monitor, and update project material and labor schedules to ensure timely and efficient project execution.
  • Trade Coordination: Schedule and coordinate trades on-site to maintain workflow and meet project deadlines.
  • Material Management: Order materials as needed and schedule deliveries to ensure that all necessary supplies are available when required.
  • Change Orders: Track and log project change orders accurately and assist the Project Manager in compiling and pricing them.
  • Project Closeout: Collect and compile all necessary closeout documents to ensure the timely and organized completion of projects.
  • Supplier Interaction: Work with suppliers to obtain quotes on supplies, materials, and equipment, and review take-offs to ensure accuracy and alignment with project specifications.
  • Progress Tracking: Track the progress of trades\' work and overall project progress to ensure that timelines are met, and any issues are promptly addressed.
  • Correspondence: Manage project correspondence, organize project files, and issue documents to team members to maintain clear and effective communication.
  • Inspection Coordination: Book required inspections to ensure all work complies with safety and quality standards.
  • RFI Processing: Process and follow up on project Requests for Information (RFIs) and Mechanical RFIs to ensure all queries are resolved promptly.
  • Site Instructions: Process and issue site instructions and assist in preparing estimates and quotes for the Project Manager\'s review and submission.
  • Site Visits: Conduct site visits to monitor project progress and prepare detailed progress reports for billing purposes.
  • O&M Manuals: Prepare documents for Operations and Maintenance (O&M) Manuals as required to ensure that project handovers are smooth and comprehensive.
WHAT YOU BRING TO THE TABLE
  • Post-secondary education, such as an undergraduate degree, relating to construction management.
  • 2+ years of experience working in a project coordinator role, preferably in the construction industry.
  • Strong data entry skills and attention to detail for accurate project documentation.
  • Proficiency in Microsoft Office including Excel, Word, Outlook, Bluebeam, and Procore.
  • Ability to thrive in a changing environment and handle multiple priorities.
  • Excellent communication skills to effectively collaborate with various departments.
  • You have a strong commitment to your team; you\xe2\x80\x99re ready to jump in and support them wherever possible. You truly excel in a team environment!
  • High level of customer service skills, with a proactive approach to client interactions.
  • Proficient English skills, both written and verbal, and strong communication skills.
