We are currently seeking a highly organized and proactive Project Coordinator to support our Project Managers and help drive multiple active projects forward with precision and care.
Position Summary
The Project Coordinator is the vital link between our Project Managers, vendors, clients, and internal teams. This role involves document handling, materials coordination, scheduling, and administrative support. The ideal candidate will be detail-oriented, resourceful, and capable of managing multiple active projects simultaneously.
Key Responsibilities
Request and complete project-specific startup documents
Submit startup documentation to clients promptly
Order and track samples from vendor
Cross-check materials to ensure specifications are accurate before client submission
Prepare and manage sample transmittals
Confirm lead times and identify material delays or alternate options
Assist with sourcing alternates and pricing when required
Handoff approvals and complete documentation to PMs for order sheet creation
Double-check order sheets to ensure accuracy before submission to purchasing
Keep all project folders (digital and physical) organized and up to date
Communicate daily with clients and PMs to ensure alignment
Stay informed on industry standards (LEED, EPD, HPD, etc.)
Confirm invoice delivery to clients before billing deadlines
Meet weekly with PMs to ensure alignment on project priorities
Manage the office library and maintain sample inventories
Coordinate with the purchaser for office supply and sample restocking
Provide general support to Division Managers (Tile, Flooring, Concrete)
Assist across multiple projects for multiple PMs
Perform other reasonable tasks related to successful project execution
Skills & Qualifications:
College diploma or University Degree in Business Administration, Project Management, or a similar field
2+ years of proven experience in project coordination within the commercial concrete installation and flooring industry
Advanced proficiency in Microsoft Excel and the Microsoft Office Suite
Strong communication skills (both oral and written)
Ability to prioritize client needs and offer timely solutions in urgent situations
Proactive, solution-oriented, and a "can-do" attitude
Excellent multitasking and time management skills in a fast-paced environment
Exceptional attention to detail and a willingness to learn
Valid driver's license with a clean abstract
