Key Responsibilities
Monitor and track project timelines, milestones, and deliverables to ensure on-time execution
Prepare, review, and submit project documents, reports, and proposals in line with project requirements
Maintain an organized and accessible document management system for all project files and records
Collaborate with project teams to collect information, provide updates, and support project delivery
Manage permits, certificates, and compliance-related documentation, ensuring timely submission
Assist with scheduling meetings, preparing agendas, and recording minutes to support effective communication
Ensure project compliance with internal policies, contract terms, and relevant regulations
Draft and distribute communications with internal teams, clients, and subcontractors as needed
Provide status updates, risk reports, and resource insights to support informed decision-making by management
Coordinate with vendors, suppliers, and subcontractors to ensure adherence to project requirements and standards
Maintain a professional company image through high-quality administrative support and attention to detail
Qualifications & Skills
Required:
Minimum 2 years' experience in project coordination, administration, or a related role
Post-secondary education in business administration, project management, or a relevant field
Strong understanding of project workflows, documentation, and coordination best practices
Familiarity with applicable legislation or regulations relevant to project delivery
Excellent written and verbal communication skills with a high degree of professionalism and precision
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), SharePoint, and collaboration tools
Experience using AI tools for document management, research, and administrative tasks
Preferred:
Background in construction, facilities management, or service-based industries
Proven ability to manage multiple priorities and deadlines with accuracy and organization
Self-starter with strong problem-solving abilities and a collaborative mindset
Experience with project management software such as Asana, Trello, or Microsoft Project
