Position Profile: Project CoordinatorReports to: Project Manager (17- month term)Profile date: June 2024The Canadian Centre on Substance Use and Addiction (CCSA) changes lives by bringing people and knowledge together to reduce the harms of alcohol and other drugs on society. We partner with public, private and non-governmental organizations (NGOs) to improve the health and safety of people living in Canada. We respect the power of the Indigenous ways of knowing and of Traditional Indigenous Knowledge and commit to learning about and incorporating this knowledge into our work with proper guidance.Reporting to the Project Manager, the Project Coordinator is responsible for supporting activities related to organizing and executing the Issues of Substance Conference. The Project Coordinator is an active member of a diverse team responsible for management of CCSA\xe2\x80\x99s Issues of Substance Conference and various initiatives to related to supporting the impact of this event.Responsibilities and Accountabilities

  • Support conference Chair to develop detailed workplans
  • Monitor and provide updates on deliverables and tasks; ensure alignment of dependencies
  • Develop, monitor and provide updates on budget plan
  • Ensure smooth project execution and timely delivery within scope
  • Supporting the Ethics Chair, facilitate the subsidy process by reviewing procedures managing applications, preparing communication of results and coordinating program acceptances
  • Coordinate budget and travel plans for subsidy recipients and conference committee
  • Compose drafts of communications for presenters, subsidy recipients, and attendees
  • Follow up with presenters, subsidy recipients, attendees to obtain outstanding information
  • Collaborate with Event Planner to provide logistical and project management support to organizing and executing conference (e.g., venue selection, catering, technical requirements, registration, hotel and travel arrangements)
  • Create and review purchase orders, statement of work, contracts, expense claims and submit them to the lead for approval
  • Research options for different components of the conference to bring forward to conference Chair such as accreditation, side events and, virtual posters
  • Ensure that any project concerns or risks are communicated and escalated as necessary
  • Ensure the active participation, satisfaction and commitment of partners and vendors through ongoing communication and support
  • Create and maintain thorough project documentation

  • University degree or college diploma
  • Minimum of two years of experience in project management and coordination
  • Knowledge of project management concepts, approaches and practices
  • Strong organizational, planning and time management skills, with the ability to multi-task and coordinate projects with tight timelines
  • Excellent interpersonal, verbal and written communication skills
  • Proven ability to foresee project risks, plan for contingencies, and monitor and adjust plans as necessary
  • Experience leading and managing multiple complex projects
Assets
  • Experience working in or with governmental, non-governmental or international organizations
  • Bilingual in English and French
  • Experience or expertise in the field of substance use and addiction or other chronic health conditions
