Ensuring invoicing statements and cost distribution files are correct and in proper format.
Creating Project Control Forms
Working with internal finance team to ensure project information is available on a timely basis.
Creating draft project orders (PO\'s) and change requests (CR\'s) using current templates. Creating large opportunity cost estimates corresponding to PO\'s and CR\'s
Ensuring all PO\'s and CR\'s have been approved by required Fujitsu management.
Collecting forecasting and accrual information from PMs and consolidating to meet client requirements.
Managing project financial tracking and electronic files for all active projects
Assisting project managers with development and management of project plans and monthly financial reporting
Supporting project managers and project teams in the timely delivery of critical milestones and budget reports
Performing detailed cost and budget analysis for projects to ensure accuracy of invoices and monthly reporting.
Liaising with client accounting staff, when required, to ensure timely delivery of financial data.
Monitoring and reconciling the weekly/monthly allocation of resources and notifying PM of any variances from plan
Assisting in orientation/onboarding of new project resources
Assisting with preparation of PMO financial reports and updating budget tracking reports by scrutinizing variances, verifying account charges, analyzing time reporting records and maintaining financial records including:
Comparing monthly financial reports to submitted invoices.
Querying unexpected charges and obtaining copies of supporting documentation
Following up on outstanding JV\'s, corrections, etc.
Investigating missing charges
Tracking status of requisitions / PO\'s / CR\'s
Qualifications
Mandatory Skills and Experience Requirements
3-5 years\' experience in similar roles within IT project management environments
Strong project administration experience
Proficiency with MS Project, MS Office (Outlook, Excel, Word, PowerPoint); MS Visio and SharePoint
Excellent communication skills, fluent in English both oral and written.
Excellent communication skills, fluent in French both oral and written.
Experience managing complex project budgets.
Experience analyzing documents and contracts to determine financial costing requirements.
Ability to work independently with a willingness to contribute suggestions for process efficiencies/improvements and take on active role in implementing operational enhancements.
Adaptable to change and demonstrated ability to work in a matrix organization.
General understanding of Project Management frameworks (PMI) and experience in PMO framework essentials.
Experience working on projects where an Agile methodology is utilized.
Desirable Skills/Experience
Business or Project related diploma a strong asset.
PMP designation a strong asset
Knowledge of Software Development Lifecycle (SDLC)
Administering subcontracts, contractors and/or geographically dispersed teams
Previous experience within the Canadian Federal Public Service
Experience in large multi-year projects
Experience in a multi-vendor environment
Currently hold, or ability to qualify for, a Government of Canada Security Clearance.
Bilingualism a strong asset.
