Reporting to the Site Manager the Project Coordinator is responsible for:


KEY RESPONSIBILITIES:





1. Project Administration & Coordination




Support Project Managers in organizing, tracking, and executing project activities from mobilization to demobilization.

Prepare and maintain project documentation including work packages, RFIs, submittals, permits, and change orders.

Ensure compliance with contractual requirements, quality standards, and internal procedures.

Coordinate daily communication between site supervisors, planners, engineers, and clients.

2. Scheduling & Logistics Support




Assist in developing and maintaining project schedules, manpower loading charts, and material forecasts.

Track resource needs, equipment utilization, and delivery schedules to maintain alignment with project milestones.

Support planning and coordination of mobilizations, demobilizations, and crew rotations.

3. Financial & Commercial Support




Compile and verify daily timesheets, equipment logs, and material usage reports for billing accuracy.

Support preparation of cost tracking summaries, progress billing packages, and change order documentation.

Monitor purchase orders, invoicing, and expense reporting to ensure cost control and compliance.

4. Documentation & Reporting




Maintain up-to-date project records and document control registers (drawings, correspondence, reports, and meeting minutes).

Prepare progress reports, dashboards, and tracking tools for internal and client review.

Ensure project close-out packages, lessons learned, and turnover documentation are completed and archived.

5. Communication & Stakeholder Interface




Serve as the central point of contact for coordination between project stakeholders and support functions.

Schedule and document project meetings, distributing action items and ensuring timely follow-up.

Maintain clear and professional communication channels between office, field, and client personnel.

6. Continuous Improvement & Quality




Support process standardization, data integrity, and procedural compliance across projects.

Identify gaps or inefficiencies in workflow and suggest improvements to enhance project delivery.

Assist in internal audits and project reviews to ensure continuous performance improvement.




Requirements:







Education & Training




Diploma or degree in Construction Management, Business Administration, or Engineering (or equivalent experience).

Additional coursework in project coordination, cost control, or scheduling is an asset.

Proficiency in Microsoft Office (Excel, Word, Outlook, Teams) and scheduling or ERP systems (e.g., MS Project, Primavera, SAP).

Experience




3-7 years of experience in project coordination, planning, or administrative support in construction or industrial services.

Familiarity with scaffolding, access, or multi-trade environments preferred.

Demonstrated ability to work collaboratively with cross-functional teams in field and office settings.

Skills & Competencies




Strong organizational and multitasking abilities with attention to detail and accuracy.

Excellent written and verbal communication skills for internal and client-facing correspondence.

Understanding of project financials, cost coding, and change management processes.

Proven problem-solving skills and adaptability in changing project environments.

Commitment to safety, quality, and operational excellence.

Other Requirements



Must be eligible to work in controlled or high-security industrial environments. Ability to obtain and maintain

security clearance / site access authorization

(e.g., Controlled Goods, site-specific background checks, drug and alcohol screening). Familiarity with radiological work controls and contamination prevention practices. Working knowledge of

ALARA (As Low As Reasonably Achievable)

principles. Understanding of

dose tracking, contamination control zones,

and

radiation work permits (RWPs).

Ability to interpret

radiological postings

and apply required PPE and boundaries. Strong procedural discipline and attention to regulatory documentation requirements. Ability to work in highly regulated environments requiring strong procedural compliance, documentation accuracy, and teamwork.
