We are currently seeking a highly skilled and motivated Project Coordinator to join our exciting organization! As a key member of our team, you will report directly to the Project Manager, organizing and controlling project activities. This position is responsible for handling day-to-day activities including regular administrative tasks, such as document and information distribution as well as coordinating Purchase Orders, Contracts, RFIs, Change Management, Shop Drawing Reviews, and other support activities. Key Responsibilities Project Administration

  • Assist the PM in the drafting and issuance of project proposals, RFPs, tenders, budgets, cash flows and preliminary schedules
  • Assist the PM in the review of contractor quotations
  • Maintain contract execution tracking log
  • Under the direction of the PM, issue LOIs, draft contracts and purchase orders
  • Attend meetings and distribute minutes to all project team members
  • Review field inspection reports from consultants
  • Track and process shop drawings and ensure timely submission to consultant team
  • Update drawing lists and ensure that all project stakeholders have current documents
  • Track As-Built information and assist site team with updating drawings regularly
  • Manage contemplated change notices and change orders including soliciting pricing and providing a cost summary to PM
  • Update sub-contract changes in Spectrum and ensure accuracy in current contract status
  • Prepare substantial completion certificates and ensure all required project closeout documents are complete, including O&M Manuals and As-Builts
  • Communicate ideas for improving company processes with a positive and constructive attitude, and for developing this attitude in others
  • Keep the PM and others informed about project status and issues that may impact client relations
Document Control and Reporting- Site Based
  • Manage all site documents including inspection records
  • Assist with monthly job progress & profit reporting.
  • Assist in invoice processing by locating appropriate commitments and completing necessary corrections if required.
  • Prepare all daily, weekly and monthly equipment reporting for review by site superintendent prior to deadline for submission to home office
  • Ensure all purchases are tracked, appropriately coded according to company format and entered into Spectrum ERP software
  • Collect and review all timecards for accuracy of time and coding prior to site superintendent authorization review
  • Enter all authorized timecards into Spectrum prior to required deadlines
  • Assist with new hire paperwork and submit immediately to home office when required
  • Assist Shipper Receiver with inventory control and delivery accounting such as retrieve, receive and organize packing slips and provide to home office digitally within ERP software and via courier
  • Act as first point of contact at the construction site for staff, contractors and inspectors
Health and Safety Coordination for site
  • Assist superintendent with orientation of new employees and sub trades
  • Supervise, coordinate and document on site safety activities, incidents, accidents and first aid reports
  • Enforce provincial safety codes, regulations and company safety policies
  • Conduct and document incident, accident and first aid reports
  • Coordinate and facilitate regularly occurring safety meetings
Administrative support to the Site Superintendent
  • Coordinate biweekly and monthly progress reviews with sub trades, site supervisor and project manager
  • Create and deliver change orders and ensure all changes are done with the project manager and proper people are notified
  • Take, track and forward meeting minutes to stakeholders
  • Assist with close out and final occupancy documentation
  • Field incoming telephone calls and email inquiries from clients and suppliers and relay messages to appropriate individuals as required

Qualifications and Experience
  • Degree or diploma in architectural sciences or engineering
  • Able to work on active construction sites and at head office. Prior experience in this type of work environment preferred
  • Able to read drawings/blue prints
  • Proficient in Microsoft Office
  • Working knowledge of Microsoft Project and asset
  • Able to clearly communicate; written and verbal
  • Have an attention for detail
  • Drivers licence
  • Ability to remain calm and poised in urgent situations
  • PPE: Steel toe boots
