to support the successful planning, organization, and execution of construction projects from start to finish. This role involves assisting Project Managers and Site teams with project documentation, scheduling, communication, and coordination between multiple stakeholders to ensure projects are delivered on time and within budget.
Key Responsibilities: Project Planning, Execution, and Control
Assist in planning, scheduling, and tracking multiple construction projects of varying size and complexity.
Support the preparation and maintenance of project documentation, including scopes, schedules, budgets, and reports.
Coordinate with internal departments and external partners to ensure timely communication and information flow.
Help monitor project progress, identify issues, and assist in implementing corrective actions.
Track change orders, submittals, and RFIs, ensuring proper documentation and follow-up.
Assist in managing project risks and maintaining accurate project records.
Prepare and distribute project meeting agendas, minutes, and progress updates.
Ensure all project documentation complies with company standards and client requirements.
Construction Management
Assist with reviewing project plans, specifications, and estimates for accuracy and completeness.
Support the tendering process, including preparing bid documents, reviewing quotations, and organizing bid analyses.
Coordinate sub-trade and supplier documentation, contracts, and insurance compliance.
Work closely with Site Supervisors and Project Managers to maintain project schedules and resolve coordination issues.
Attend and take minutes during construction and sub-trade meetings.
Assist in monitoring site progress and help prepare cost tracking and forecasting reports.
Support the preparation of monthly progress draws and close-out documentation, including as-builts and manuals.
People Management and Leadership
Collaborate with project teams, consultants, and sub-trades to ensure alignment and effective communication.
Provide administrative and coordination support to Project Managers and field teams.
Contribute to a positive team culture and support the achievement of project goals and milestones.
Relationship Management
Maintain effective and professional communication with clients, consultants, suppliers, and sub-trades.
Assist in building and maintaining positive working relationships with all project stakeholders.
Promote teamwork, transparency, and collaboration across departments.
Technology and Industry Knowledge
Maintain up-to-date knowledge of construction documentation standards and industry practices.
Proficient in MS Office Suite (Excel, Word, Outlook), Adobe, and construction management software (e.g., Procore, Buildertrend, or equivalent).
Familiarity with project scheduling tools such as MS Project or Primavera is considered an asset.
Qualifications:
Degree or diploma in Construction Management, Civil Engineering, Architecture, or related field.
1-3 years of experience in a construction coordination or project administration role.
Strong organizational, communication, and multitasking skills.
High attention to detail and ability to manage competing priorities.
Knowledge of construction documentation, tendering, and project processes.
Experience with both private and public sector construction projects is an asset.
