Job Description

Primary Responsibilities



1) Sales Support & Quoting



Gather requirements from sales reps and/or customers (SKUs, quantities, finishes, manufacturer standards). Obtain and compare pricing/lead times from suppliers; recommend approved equivalents when appropriate. Prepare accurate quotes (pricing, margins, terms, exclusions) and clear, compliant proposals on time. Maintain price lists, quote templates, and basic technical notes (manufacturer sheets/catalogs). Update the pipeline (CRM/ERP) and contribute to tracking the hit rate (conversion).

2) Order Management



Convert won quotes into sales orders; verify availability and supplier confirmations. Track promised dates and escalate variances; manage backorders and approved substitutions. Plan shipments (full/partial) with the warehouse and logistics; optimize costs and timelines. Coordinate with keying (cylinders/keys/master keying) when required by the order.

3) Customer Service & Issue Resolution



Serve as the primary contact for quote/order status, deliveries, and adjustments. Address discrepancies (SKUs, quantities, dates) and initiate RMA/returns as needed. Maintain complete records (correspondence, confirmations, deliveries, proofs).

4) Data, Reporting & Continuous Improvement



Ensure data accuracy in the ERP/CRM (items, costs, dates, statuses, notes). Produce status reports (open quotes, in-progress orders, backorders, OTIF, margin). Recommend improvements to templates, checklists, and ways of working.

Key Performance Indicators (KPIs)



Quote SLA (response time) and conversion rate. Order accuracy (SKUs/quantities) and gross margin per file. OTIF (On-Time, In-Full) and backorder rate. Customer satisfaction (feedback, repeat business, etc.).

Profile



2-5 years in quoting/estimating, B2B customer service, inside sales, and/or order management in a distribution context (door hardware, access control, doors/frames, electrical, security, or related). Strong rigor, attention to detail, and prioritization; excellent written and verbal communication. Customer-oriented and naturally collaborative with sales, purchasing, warehouse, and logistics.

Technical Skills



Proficient with Microsoft 365 (Excel, Outlook, Teams). Experience with ERP/CRM (e.g., Microsoft Dynamics 365 Business Central) -- asset. Knowledge of door hardware families (locks, cylinders, hinges, closers, exit devices, strikes, etc.) -- strong asset. Advanced professional English required.

Education



Diploma in business administration, technical field, locksmith or a related discipline (or equivalent experience).
