Job Description

The Active Living Club (ALC) is the fitness program for City of Ottawa employees. Operating at arm's length from the City of Ottawa, the ALC operates and maintains 17 gyms, in person fitness classes instructed by volunteer instructors and has 2,000+ members.

The ALC mission statement is "to engage City of Ottawa employees in active living by promoting, offering and encouraging opportunities to optimize their health and well-being."

The ALC is seeking a self-employed, detailed oriented, and knowledgeable professional who is committed to supporting the ALC mission statement to join its dynamic team as the Program and Project Manager.

Free membership and use of all non-restricted ALC sites during non-working hours is included in this position.

20.00 to 25.00 hours/week, Monday to Friday

Compensation

: $33.50 - $44.90/hour

Work Location:

Hybrid - Work from home (WFH) and onsite at Ottawa City Hall, 110 Laurier Avenue West.

Reporting to:

the ALC Committee, a group employee volunteers dedicated to enriching the lives of their co-workers through health and fitness.

Job Summary

In collaboration with the ALC Committee, to manage overall operations of the ALC in a manner consistent with the mission and goals of the organization.

The Project and Program Coordinator facilitates the roles and responsibilities of the ALC Committee as the lead support and develops and implements strategic plans and policies to further ALC objectives.

The Project and Program Coordinator supervises the Fitness Equipment Technician (FET) and shares administrative duties with the FET.

Key Duties:



1. Provide management and leadership that enables the ALC to function in a manner consistent with its mission and goals by:



developing and revising all policies, procedures and terms of references as required

overseeing the ALC yearly budget, monitoring and advising the Committee of overall financial health of club

investigating and coordinating all internal partnerships with City of Ottawa departments to ensure smooth operation of the club, ie. payroll, accounting, finance and communications

liaising with members and city department/staff and other partners as required

working with relevant suppliers, requesting quotes for goods and services

attending other ALC and corporate functions as required

Keeping current with trends in the fitness industry

Facilitate ALC Committee operations and support committee needs by:


overseeing and planning all meetings (organize, set agenda, provide background materials)

attending committee meetings as the recorder, resource and non-voting member

developing and leading orientation and education sessions for site representatives and committee members as required

researching and advising committee on issues related to club operations as requested, i.e. equipment brands, pricing

3. Manage all aspects of ALC administration by:



Maintaining ALC database, processing membership applications and cancellations, managing locker rentals

Leading membership communications by revising/updating all communications vehicles: SharePoint, Teams chats, etc,

Investigating potential avenues of marketing the ALC within membership and the City

Communicating regularly with ALC site representatives and acting as liaison between reps and facility operators

Reviewing invoices and processing them for payment/reimbursement

4. Manage Group Fitness Classes and Volunteer Instructors by:



assisting onsite instructors in the scheduling of group fitness classes

ensuring fitness instructors are certified and teach in a safe manner

providing information to instructors on training opportunities, organizing yearly group CPR recertification

advising members on certification process as requested, assisting in the process as required

processing instructor reimbursements of applicable conferences and continuing education courses

ensuring sites offering classes have proper resources

evaluating performance of instructors for recognition (honourarium)

5. Performs other related duties consistent with the duties outlined above.



Education and Experience:



University or college degree applicable to management, fitness, or sports industry, or previous relevant work experience managing a fitness or sports related organization, working with a board or committee of volunteers and budgets

Language, Certificates & Licenses

:

English oral, reading, writing

French, oral, reading, writing - desirable but not required

Fitness related certification - desirable but not required

CPR and First Aid Certified

Knowledge



Microsoft Office Suite, includes Outlook, Word, Excel and PowerPoint, SharePoint, Teams

Planning and coordination of programs and program design

Fitness and wellness management, fitness trends, equipment brands an asset

Desirable but not required: Governance practices policy development and implementation, and strategic planning Working knowledge of City of Ottawa corporate structure, policies, procedures an asset
