  • As a Project Administrator, you will be an integral part of our Transportation Engineering team. Your role will be multifaceted, involving a range of responsibilities from producing reports and preparing presentations to basic invoicing and issue resolution.
  • You will also be involved in word processing, document preparation, data entry, and providing meeting minutes and distribution, all under the direction of the Project and Team Managers.
  • Your close interaction with Project Managers, project staff, and clients will be crucial in ensuring timely responses to enquiries and the successful completion of each project.
  • You will assist in the project opening process, which includes setting up project files and accounting, as well as preparing project start-up documentation.
  • You will support our business line marketing initiatives, coordinating events and team functions, sponsorships, advertising, budget tracking, and membership renewals.
  • You will maintain a database of projects and CV updates for the team, schedule monthly management/marketing/team related meetings, and develop, produce, and distribute reports, studies, proposals, and general correspondence.
  • Your role will involve managing project and program information, including database and filing. You will scribe notes at project meetings, annotate and finalize/manage multiple sets of notes.
  • You will collaborate with internal staff to ensure projects are completed on a timely basis will be a key part of your role.
  • You will assist the Project Manager in preparing proposals and creating project sheets for business development.
  • You will also assist with contract management to aid the project delivery team, coordinate and update tracking sheets in Excel format with direction from the project team, and perform other duties as assigned/required.
What you\'ll bring to WSP:
  • You have a University degree in Administration, or other equivalent training.
  • You bring at least 2 years of relevant experience. Functional competencies in project management in the field of engineering consulting will be considered an asset.
  • You are proficient in computer software applications (Word, Excel, PowerPoint), and competencies in MS Project and Adobe Acrobat (Adobe InDesign) will be considered an asset.
  • You have the ability to multitask, good prioritization, time management, and organizational skills.
  • You show good initiative and attention to detail.
  • You have the ability to work in a team environment and independently.
  • You possess excellent verbal and written communication skills.
