Job Description


We are looking for a Project Administrator for a 12-month contract position, with possible extensions in Saskatoon, Saskatchewan. Must be legally entitled to work in Canada.Position is available as hybrid, remote or on-site location. 8 hours a day, 40 hours a week.Role Description
The Project Administrator assists Project Manager (PM) with the knowledge and application of project management and assist with the project lifecycle. The ideal candidate will assist in coordinating project activities, manages schedules, and ensures project deliverables are completed on time and within budget. The Project Administrator will break projects into tasks, create workflows, and provide documentation to internal teams and stakeholders.Responsibilities

  • Set up WBS structure in SAP
  • Closure activities
  • Procurement of resources/ request for services
  • Create and update documentation of the PMO processes, standards, and tools in consultation with the supervisors/PVL Change Advisory Committee
  • Quality assurance for project/portfolio status reporting and PMO forecasting
  • Create and maintain the general project records
  • Reports on project activities to ensure a successful week/month/quarter end close
  • Administrative support, policies, processes, methodologies, templates
  • Training, mentoring, and coaching project managers
  • Plan deviations and escalations
  • Request, test, and setup project folders and reporting profiles and instruct project team of their usage instructions
  • Completing monthly, yearly, and overall project forecasts
  • Obtain financial and schedule information from SAP and interpret results
  • Research, compile, process, and coordinate project data e.g. data entry, report generation, metrics collection
  • Assist in coordinating information, acting as central information source for gathering, updating, and distributing project information
  • Coordinate efforts with accounting and planning staff in IT Business Services, as well as project Manager and Business Analysts
  • Consult with representatives within the business and vendors with project-related activities, in consultation with the PM
  • Monitor and ensure accuracy of project status reports and forecasts
  • Assist and mentor PMs with the use of PMO processes, standards, and tools, forecasting and status reporting processes
  • Develop and update PMO processes, standards, and tools.
  • Assemble, distribute, and file/scan project related deliverables, documents, and forms (records management)
  • Complete archiving of project documentation upon project closure
  • Completion of monthly status report, ensuring accuracy and providing guidance and assistance in resolving discrepancies
  • Prepare and monitor project related reports, statistics, metrics, charts, and graphs
  • Prepare financial and statistical analysis for all related projects
Required Skills and Experience
  • Diploma in computer science, administration, or a related discipline supplemented by a junior level accounting course.
  • Certified Associate in Project Management (CAPM) certification is required
  • 3 years experience in an IT services, accounting, or project management environment is required
  • General understanding of processes in an Information Technology environment, including life cycle (hardware and software) management, application development and support, problem and change management
  • Practical and theoretical knowledge of IT project management standards and best practices
  • Previous experience in a Project Administrator or Coordinator role
  • Experience with data gathering, compiling, and managing to support project administration
  • Experience and knowledge of Primavera Software, Microsoft Project, and Microsoft Office (Outlook, Word, Excel, PowerPoint)
  • Knowledge of project accounting principles and practices is a plus
  • Knowledge of systems life cycle methodologies is a plus
  • Familiarity with SAP Project Systems (PS) and Work Management modules is a plus
