We're seeking a highly organized, people-focused Project Administrator to support our team during an 8-month maternity leave. About the Role
As a Project Administrator, you'll provide essential support to our Project Managers and field teams by coordinating schedules, managing documentation, and--most importantly--building trusted relationships with clients. You'll be the go-to contact for inquiries, scheduling, and updates, ensuring our customers feel informed, valued, and heard throughout every stage of the project.
Key Responsibilities
Project Coordination & Organization
Maintain organized project records, permits, schedules, and communication logs
Schedule and coordinate field staff, subcontractors, and equipment
Prepare project documents, upload updates to internal calendars and trackers
Assist with permit applications (e.g., plumbing, street closures, utility locates)
Support quality control processes and compile close-out documentation
Client Relations & Customer Service
Respond to phone calls and emails from residential and commercial clients
Communicate project timelines, updates, and scheduling changes
Prepare and deliver clear, client-friendly proposals and estimates
Build long-term relationships through professionalism, empathy, and follow-up
Administrative & Estimating Support
Gather scope details for pricing and estimating
Input and track estimates, proposals, and project costs
Conduct post-project costing analysis for invoicing support
Address billing discrepancies by reviewing job logs and third-party invoices

A confident communicator (both written and verbal)
Able to work independently and collaborate with team members
Experienced with Microsoft Office (Outlook, Excel, Word) and comfortable learning new systems
Familiarity with construction project coordination, estimating, or permitting is a strong asset
High school diploma or equivalent (post-secondary in admin or construction is a plus)
Bonus Skills (Nice to Have)
Knowledge of
City of Calgary permitting systems
and
Alberta 1-Call
Ability to read and interpret
basic construction drawings
Previous experience in
plumbing, construction, or field service industries
