Position Summary:



As an integral member of the FM-PRO Capital Teams, and under the direction of the Chief Planning Officer, the Administrative Coordinator will coordinate essential committee activities related to major Capital Projects.

Duties:



The successful candidate will be responsible for organizing Capital Project committee activities as well as some essential project activities; performing administrative responsibilities to support the operations of the FM-PRO offices located at 67 College St., 2nd Floor as well as performing cross-functional and other duties consistent with the job classification as assigned or requested by the Chief Planning Officer.


Excellent organizational and time management skills are essential to this role. The ideal candidate must have extensive knowledge of the MS Office applications (Outlook, Word, Excel and PowerPoint); have a well-honed ability to take initiative, and work well with a wide range of internal and external stakeholders. The ideal candidate will be professional, insightful, tactful and able to focus on the priorities of a rapidly changing priorities.

Qualifications



Minimum of a two (2) year Diploma in Business Administration or Office Administration, from an accredited college or university. Minimum of five (5) years' experience working in a senior administrative support role, preferably in a health care environment. Demonstrated superior interpersonal and communication skills, both written and verbal. Demonstrated ability to manage routine correspondence, multiple tasks/projects, diversified workload and rapidly changing priorities/deadlines Strong organizational skills required. Demonstrated accuracy in taking meeting minutes, identifying decisions, action items and next steps. Effective conflict-management skills required. Proven ability to work independently and in a team environment. High proficiency in organizing meetings, compiling information and maintaining records. Experience working in hospital an asset. Experience with MS Project an asset.
