Programs & Services Coordinator

to support our

New Clinical and Genetically Informed Care (GIC) programs.

This hybrid

Vancouver/Calgary

Requirements:



Post-secondary education in healthcare administration, business administration, or a related field preferred. Minimum 2-4 years of administrative and program coordination experience, ideally in a healthcare, wellness, or high-touch client service environment. Experience with data analytics, electronic medical record systems (EMR) and client relationship management tools. Familiarity with precision medicine, genetics, or health programs, data collection & analysis, an asset. Exceptional interpersonal and communication skills -- verbal, written, and virtual. High attention to detail and accuracy in documentation and data entry. Strong organizational and multitasking abilities; able to manage multiple priorities with professionalism. Tech-savvy with proficiency and comfort with healthcare platforms and scheduling systems. Compassionate, patient-centered approach with a commitment to confidentiality and ethical standards. Proactive problem solver who thrives in a collaborative, mission-driven environment.

Job Responsibilities:



1. New Clinical Program (Client Experience & Operations)



Serve as the primary administrative contact for New Clinical program clients Quality Assurance and Data Analysis Manage the full client intake process, including scheduling initial assessments, onboarding, and ongoing communication. Coordinate appointments and communications among clients, clinicians, and the care team. Input and maintain accurate client data within the Electronic Medical Record (EMR) system, ensuring compliance and confidentiality. Provide high-touch customer service--responding promptly to inquiries, troubleshooting issues, and ensuring each client feels supported and valued. Track and manage program milestones, follow-ups, and client progress documentation. Support the program representative and care team with administrative tasks that promote client engagement and satisfaction.

2. Genetically Informed Care Program Support (Program & Vendor Coordination)



Support the Programs & Services team in coordinating communications and logistics for GIC initiatives, including pharmacogenomics, nutrigenomics, cancer, and cardiac testing and more. Prepare and send marketing and educational materials to clients, clinicians, and corporate partners. Liaise with partner laboratories and vendors to order tests, track shipments, and manage test results flow. Maintain records of test orders, results, and communications in the EHR and program databases. Communicate with clinicians to ensure timely test ordering, follow-up, and result interpretation. Assist in tracking outcomes and generating reports for internal and partner review. Contribute to the continuous improvement of program workflows and client experience initiatives.
