Programs Officer - Overview
The Programs Officer plays a key role in supporting the effective delivery, monitoring, and reporting of Penny Appeal Canada's humanitarian programs. Reporting to the Director of Programs, this role supports the implementation of approved projects, contributes to program planning and evaluation, and helps ensure compliance with donor requirements, organizational policies, and regulatory obligations.
The Programs Officer is a detail-oriented, collaborative professional who is comfortable managing multiple initiatives simultaneously, working with internal teams and international partners, and maintaining accurate program documentation and data.
This
role is suited to someone with hands-on experience in nonprofit or humanitarian program coordination who is looking to deepen their impact within a growing organization.
Key Areas of Responsibility
Program Implementation & Coordination
Support the implementation of approved programs from planning through completion, under the direction of the Director of Programs.
Coordinate program activities to ensure alignment with approved concept notes, donor agreements, budgets, and timelines.
Track project milestones, deliverables, expenditures, and reporting requirements using appropriate project management tools.
Maintain accurate and up-to-date program documentation and data across organizational systems.
Contribute to program reports, summaries, and updates for internal teams and external stakeholders.
Monitoring, Risk & Reporting
Support program monitoring and performance tracking to ensure accountability and impact.
Assist with identifying programmatic risks and challenges, and contribute to mitigation and contingency planning in collaboration with the Programs team.
Prepare regular progress, compliance, and performance reports for internal review.
Document lessons learned and support continuous improvement of program practices.
Support partner selection, assessment, contracting, and monitoring in accordance with CRA requirements and organizational policies.
Partner & Stakeholder Engagement
Build and maintain effective working relationships with national and international implementing partners.
Coordinate and participate in partner meetings to review objectives, progress, and implementation challenges.
Liaise with internal stakeholders across departments to support coordinated program delivery.
Community & Volunteer Engagement
Support community outreach initiatives related to program delivery and learning.
Coordinate scheduling and logistics for staff and volunteers as required for program activities.
Represent Penny Appeal Canada at community events, program-related engagements, and fundraising initiatives, as appropriate.
Administration & Systems
Maintain accurate program data within organizational systems, including Raiser's Edge and Stripe.
Support program-related coordination, documentation, and administrative tasks.
Participate in team and organizational meetings, providing timely updates on program activities.
Contribute to special projects aligned with organizational priorities, as assigned.
Qualifications & Requirements
Bachelor's degree is strongly preferred.
3-5 years of experience
in program coordination, development, or implementation within the nonprofit, humanitarian, or development sector.
Experience working with multiple stakeholders, including international partners.
Working knowledge of Canadian charitable compliance requirements (CRA).
Strong organizational skills with the ability to manage competing priorities in a mission-driven environment.
Excellent written and verbal communication skills, with strong attention to detail.
Collaborative and professional approach, with the ability to work effectively in a diverse and values-driven workplace.
Comfortable working across time zones and supporting international meetings or events, as required.
Proficiency in Google Workspace, Microsoft Office, Slack, and project management tools (e.g., Asana) preferred.
Experience with fundraising or donor management systems (e.g., Raiser's Edge, Stripe) is an asset.
Must be legally eligible to work in Canada.
