Job Position: Program Support Coordinator



Department: Health Services Status: Full-Time - 35 hours per week,



Contract until March 31, 2026 (with the possibility of an extension)

Position Summary:



Under the general guidance of the Manager - Health Services, the incumbent will provide administrative and program support for our Services for Seniors team. The successful candidate will ensure smooth day-to-day operations, excellent client service, and effective program delivery.

Responsibilities and Duties: (but not limited to)



Welcome clients, guests, and visitors; receive and direct incoming calls, and provide program information in person, by phone, and via email.
Refer clients to appropriate programs and services and liaise with staff, clients, and caregivers to ensure smooth service delivery.
Assist with training and orientation of new staff and volunteers.
Provide comprehensive administrative support, including mail processing, faxing, scanning, photocopying, filing, agendas, documentation, and meeting coordination.
Plan and coordinate program activities, field trips, internal meetings, and events; ensure necessary resources, spaces, and equipment are available.
Oversee office equipment, troubleshoot issues as needed, and perform regular data backups.
Order and maintain inventory of program supplies, resource materials, and petty cash; prepare invoices, collect payments, and issue receipts.
Compile, manage, and maintain accurate administrative files, records, and statistical documentation.
Assist the Manager in ensuring smooth program operations, particularly during staff absences.
Review and recommend ways to streamline administrative processes to improve efficiency and fiscal savings.
Maintain effective working relationships with staff, clients, families, and volunteers.
Ensure compliance with organizational policies, procedures, and client confidentiality standards.
Receive new inquiries, arrange tours and trial visits, and complete suitability/intake assessments for prospective program participants.
Provide language-specific information and support to caregivers during assessments.
Develop and maintain care and goal plans, and ensure accurate documentation in all required databases.
Coordinate Security Reassurance services in collaboration with Life Enrichment staff.
Support caregivers with transportation planning, resources, and referrals.
Research, develop, and maintain current community resources and supports for program participants and caregivers.
Promote and assist with caregiver programs, community events, projects, fairs, and outreach activities.
Assist program participants with activities, programming, and problem-solving as directed by Team Leads or the Manager.
Participate in staff and team meetings, and professional development opportunities as required.
Adopt safe work practices, reporting unsafe conditions immediately.
Perform other duties as required.

Qualifications and Skills:



Post-secondary education in Office/Business Administration with at least three years of progressive experience, or in Recreational Therapy, Gerontology, Social Work, or a health-related field with a gerontology focus, or an equivalent combination of training and experience.
Experience working with frail, elderly and/or cognitively impaired seniors with knowledge of their unique needs.
Self-starter with excellent interpersonal, organizational, administrative and time management skills.
Demonstrates professionalism, collaboration and a strong customer service orientation.
Demonstrates diplomacy, tact, good judgment and attention to detail.
Strong understanding of records management and ability to maintain accuracy in documentation.
Self-motivated, positive attitude, able to work independently and as part of a team.
Strong oral and written communication skills, including business writing and taking meeting minutes
Fluent in English; proficiency in one or more South Asian languages is an asset.
Advanced proficiency in MS Office, email, internet, and database applications.
Sensitivity to diverse socio-economic backgrounds with an equity lens.
Ability to work flexible hours including evenings, weekends and to work from any Indus work-site.
Successful candidates must provide current CPR and First Aid certification and a satisfactory Vulnerable Sector Check prior to employment.
