About Sunnybrook and the Harquail Centre for Neuromodulation
Sunnybrook Health Sciences Centre is one of Canada's premiere academic health sciences centres, with 1.2 million patient visits annually and $100 million of research funding each year. The Hurvitz Brain Sciences Program (HBSP) is a dedicated platform for the treatment and research of the most common and challenging brain conditions, building on several decades of history and tradition at Sunnybrook Health Sciences Centre in the management of brain disease. Harquail Centre for Neuromodulation (HCN)
within HBSP, which has grown to be among Canada's most comprehensive centres and among the world's first to offer a complete range of neuromodulation strategies in one state-of-the-art facility. Given the exponential growth of this area and the resultant strong public and academic interest, HCN aims to expand our impact within the local, national and international community.
Job Summary
We are seeking a strategic, detail driven Finance, Strategy and Sustainability Manager to oversee the financial, sustainability and communication functions of HCN. This role holds responsibility for the financial oversight of centre funds, including research accounts, operational budgets and external funding partnerships. The candidate will cultivate partnerships with granting agencies and internal foundation, ensuring financial integrity, while providing insights to support the center's long-term growth and sustainability. In addition, they will be responsible for developing and executing public facing materials and strategies, enhancing recruitment to HCN treatment programs, increasing internal and external visibility of HCN research and clinical activities and solidify the centre's virtual footprint.
Key Responsibilities
Monitor and reconcile multiple account balances to ensure accuracy and compliance with institutional policies
Support contract review and clinical trial sub-award negotiations (clinical trial, funding and service agreements) as needed
Develop comprehensive proposals or funding requests and deliver presentations to key groups to secure funding for projects and initiatives
Manage the allocation, tracking and forecasting of funds, ensuring proper use and timely reporting
Lead the HCN Sustainability and Strategy Committee
Oversee grants and awards in excess of $10 Million
Support capital purchasing and where required for limited tendering involved, according to hospital policy (experience with electronic
purchasing portal
systems an asset).
Create and deliver impactful communications that promote HCN clinical and research activities, thereby enhancing recruitment to trials and treatments, and increased public engagement and interest.
Specific Tasks:
Finance
Work with key research personnel to assist in clinical trial funding and study budget design, monitoring and projections
Attend and participate in regular meetings with key stakeholders, including Hospital, Foundation and Sunnybrook Research Institute (SRI) finance groups
Evaluate centre activities changes related to staffing and volume estimates, to inform on available financial forecasting, funding and resource allocation
Ensure cost transfers (quarterly, year-end or at project completion) are maintained among study and operating cost centres. Regular oversight required according to growing volumes of staff and changing resource use
Ensure HCN operating costs are shared equitably among clinic users (hospital, private or clinical research teams)
Coordinate procedure recoveries with hospital finance and reciprocal billing offices where required
Draft Memorandum of Agreement for HCN Investigators' individual operating and stipend supports
Ensure graduate student, clinical fellow and HCN investigator funding agreements are processed. Liaise with University of Toronto Department of Surgery, Department of Medicine as required
Work closely with SRI accounting, hospital finance and purchasing teams accounts payable and receivable
Develop and maintain organized financial records, reporting systems and tracking tools. As well, as oversee financial reconciliations and/or audit preparations as needed
Act as the financial liaison with both institutional and external partners
Collaborate with institution partners to integrate financial sustainability into program planning, ensuring resources are aligned with long-term organizational priorities
Collaborate on writing activities and support the preparation of foundation reports, providing financial data as needed
Support priority program growth areas, for Universal Patient Program access and planning
Clinical trial budget design balancing hospital operational and patient centred lens
Provide financial recommendations, contributing to sustainability planning.
Communications
Lead HCN's internal and external communication and marketing strategies
Maintain the HCN website and social media presence
Work with industry professionals to develop engaging content (i.e., articles, stories, news, videos, case studies, etc.) that showcase HCN's activities
Coordinate networking, academic and community events (e.g., annual meetings, educational lectures workshops, etc.)
Seek opportunities to collaborate with other organizations and media outlets in Canada and beyond
Develop relationships and liaise with organizations, community primary care physicians and specialists to inform and education regarding the clinical and research program(s) at HCN
Work together with Sunnybrook Hospital, SRI, and Sunnybrook Foundation, public relations team to ensure excellent alignment of outreach and coordination efforts.
Qualifications, Skills and Experience:
Minimum 3- 5 years experience with finances, accounting, business/communications administration
Strong knowledge in the conduct of clinical research or academic funding programs
Strong knowledge of budgeting, fund management, financial reporting & reconciliation practices
Detail-orientated, and organized worker
Health system knowledge and strong sense of integrity
Demonstrated ability to prioritize & work under the pressure of multiple deadlines & concurrent projects
Ability to foster collaborative relationships and coordinate teams of varying backgrounds while ensuring targets & objectives are met
Team player and self-starter with the ability to work efficiently & independently
In-depth knowledge of Microsoft Office Suite & proficiency with accounting software an asset
Knowledge of medical/neuroscience terminology is an asset
Exceptional written and verbal English communications skills, to communicate in person, by phone and email.
In addition, you will be expected to:
Work within the larger context of Hospital and Research Institute rules and regulations, policies, procedures, practices, safety procedures and current legislation, in particular the Human Rights Code regarding discrimination and harassment.
Ensure the confidentiality of patient, employee and Hospital information at all times.
Work cooperatively and constructively with the other members of staff.
