Position Overview

The Department of Clinical Neurosciences in the Cumming School of Medicine invites applications for a Program Manager, CNDR. This Full-time Fixed Term position is for approximately 1 year (based on length of grant funding), with the possibility of extension.

The Canadian Neuromuscular Disease Registry (CNDR) is an initiative that collects patient data from neuromuscular clinics across the country for research purposes.

The Program Manager reports to the National Executive Director and Principal Investigator, CNDR and will provide team leadership and expertise in relation to planning and project management. The Program Manager will be responsible for the successful planning and execution of all projects within the CNDR, and will develop the project scope, budget, proposals, requirements, and deliverables in collaboration with the CNDR team.

Position Description

Summary of Key Responsibilities (job functions include but are not limited to):

  • Team Leadership:
  • Contextualize work in relation to CNDR strategic goals, mission, vision, and values, to align the team in focus and work prioritization
  • Provide clear direction and guidance to staff regarding day-to-day tasks in a fast-changing environment where there is complex and partial information
  • Coach the team in use and adoption of project management tools and develop clear guidelines and expectations to support this
  • Demonstrate integrity, fairness, and respect in all situations
  • Lead internal sprint planning and retrospective meetings
  • Recognize team and individual successes and connect each member's work contribution to the overarching purpose of the program
  • Clarify team roles & responsibilities in the context of each project
  • Delegate tasks and provide instruction and training where appropriate
  • Manages the creation of job profiles, hiring and onboarding of staff
  • Performs and engages staff in annual performance reviews
  • When required, performs disciplinary, including terminations, actions
  • Project Leadership:
  • Understand how the CNDR's multiple overlapping, high-impact projects and programs impact one another, and use this knowledge to coordinate priorities and timelines
  • Develop and implement internal processes for project planning
  • Create and revise project plans and documents in conjunction with CNDR team and ensure all necessary components are present, including proposals, budgets, and timelines
  • Ensure the project plan contains a complete breakdown of all required work and that each task has a corresponding timeline and assignee
  • Ensure that the team develops a communication plan for each project or program for engaging and relaying objectives, progress updates, and data requests to CNDR investigators and clinical sites
  • Knowledge Management:
  • Develop and maintain knowledge base in conjunction with team members regarding operational procedures, processes, and information-sharing
  • Develop team communication norms to enhance alignment & efficiency
  • Organize and maintain project information and documentation
  • KPIs & Metrics:
  • Develop metrics and KPIs for team performance and strategic objectives
  • Create and maintain dashboards to monitor progress in relation to KPIs
  • Analyze metrics, recognize trends, and propose appropriate action plans
  • Judgment and Decision Making:
  • Contribute to project decision-making by analyzing multiple options or proposing new options to resolve complex problems
  • Responsible for the development and management of project and program budget
  • Propose new solutions to the team for potential and existing problems, integrating lessons learned from previous projects as appropriate
  • Make decisions in ambiguous situations within established processes pertaining to the project and team
  • Communication & Scientific Contribution:
  • Communicate clearly and frequently with internal staff to build rapport and support team success
  • Set up regular stand-up meetings to check in with junior team members
  • Liaise with interdepartmental staff and stakeholders, including industry sponsors, researchers, and patient organizations to ensure understanding of project objectives, specifications, deadlines and deliverables
  • Communicate with project sponsors regarding contracts, progress updates, and timelines
  • Organize and participate in virtual and in-person meetings, prepare meeting agendas, distribute follow-ups and action items, and engage with stakeholders in meetings
Qualifications / Requirements:
  • Minimum of a Bachelors' degree; Masters' degree an asset
  • PMP Designation or similar education and training required
  • Minimum 3-5 years previous project management work experience
  • A combination of education, training, and experience will be considered
  • xperience managing in an Unionized environment an asset
  • Experience working in and understanding of clinical research preferred
  • Excellent leadership and management skills
  • Excellent interpersonal and communication skills
  • Excellent critical thinking and problem-solving skills
  • Strong organizational skills and detail-oriented
  • Ability to make decisions and communicate clearly in complex situations with multiple competing priorities
  • Able to give direction to others within a team
  • Expertise in the development and maintenance of project management tools and processes
