Please Note this role will work in a hybrid environment. The successful candidate will be working in one of our office locations in Canada with a mixture of on and off-site work based on the parameters for our operations to meet the needs of our donors, our staff and our communities. Currently, employees are expected to have an in-person presence for at least 40% of their work time. This requirement is subject to change, based on operational needs.

About The Role

Canadian Blood Services is looking for a Regular Full-time Program Coordinator, Supply Chain Process Management (SCPM) to join our dynamic Supply Chain Process Management Team. The work of Program Coordinator is integral to Canadian Blood Services\' role as Canada\'s Lifeline.

In the role of Program Coordinator, SCPM, you will support our supply chain initiatives portfolio and operational activities by using your technical expertise to provide high quality and cost-effective initiative coordination. Utilizing your organization and time-management skills your will compile and track monthly progress of our portfolio and using your knowledge and attention to detail you will ensure conformance to divisional governance documents.

As a Program Coordinator, SCPM you will use your knowledge and experience to support the development, execution, and continuous improvement of the integrated supply chain portfolio management process by contributing further to the development and refinement of policies, processes, procedures guidelines, tools, reports and templates.

In the Role of Program Coordinator, SCPM you will support the Supply Chain Leadership Team in various activities requiring you to plan and contribute to the operation of the supply chain process management team. The role of Program Coordinator reports to the Associate Director, Supply Chain Process Management.

Key Responsibilities Include:

  • Collects and complies information on supply chain initiatives and operational activities into a report for broad distribution within the organization, including EMT (Executive Management Team) members, EPMO (Enterprise Project Management Office), Supply Chain Leadership Teams, for use in managing their operations, including resources requirements and training.
  • Coordinates and communicates with a variety of stakeholders (Directors, Associate Directors, Managers and Process Development Specialists) on project status reporting, initiative set-up information, etc.
  • Working closely with EPMO colleagues to review initiative/project entries for data accuracy, consistency and adherence to organization methodology, standards and corporate governance guidelines.
  • Ensures monthly dashboard is published accurately and within established timelines, developing and maintaining the dashboard, portfolio management tools and/or databases and other systems for record keeping, project tracking and reporting to meet portfolio requirements.
  • Collaborates with SCPM (Supply Chain Project Management) leadership team in establishing processes, developing business rules, guidance, and templates to manage all Integrated Supply Chain Initiatives including tracking issues, decisions, scope, risks, status reports and deliverables.
  • Identifies opportunities for improvements, ensuring all tools and templates are up-to-date and aligned with the process.
  • Builds and maintains effective relationships with key project stakeholders through clear and timely communication, presentations, and use of reporting tools.
  • Coordinates SCPM leadership meetings, including scheduling and event logistics (venue selection, booking arrangements, travel arrangements, organizing activities, meals and preparing agendas)
  • Assists with the on-barding of new team members.
  • Responsible for maintaining accurate records and files and ensuring the distribution of these documents to the work unit.
  • Performs other duties as required.
Education, Experience, Training and/or Certification(s):
  • Successful completion of post-secondary education in a relevant discipline from a recognized academic institution is required.
  • Excellent knowledge of portfolio management lifecycle, defined process requirements, activities and tools.
  • Experience in developing reports, reviews, portfolio and project level dashboards.
  • An equivalent combination of education and experience may be considered.
Demonstrated Knowledge, Skills, and Abilities:
  • Proficiency with Microsoft Office suite and tools
  • Proficiency with MSPO (Microsoft Project Office) and Power BI reporting
  • Strong communication skills including written and oral presentations with great attention to detail.
  • Self-directed, motivated worker who thrives in a fast-paced dynamic, chaining environment.
  • Excellent time management, planning, organization, and problem-solving skills, with the ability to multi-task and prioritize.
  • Strong interpersonal skills and a keen team player.
  • Desire to enhance knowledge and skills.
