Position Summary:
The Program Coordinator- Shelters and Housing is a key coordination and administrative support role within the shelter and housing cluster. Reporting to the Director of Shelters/Housing & Operations, the successful candidate will help execute high-level operations projects, manage communication systems, and ensure alignment of frontline program delivery with strategic organizational goals.

Key Responsibilities:
1. Program Operations & Coordination
Support the day-to-day coordination of shelter, housing, and community programs.
Track program timelines, activities, and deliverables.
Help organize program meetings, launches, and internal events.
Maintain organized and confidential program files, records, and databases.
2. Reporting & Compliance
Collect and submit program data using reporting systems such as TGRIP, POES, and other online portals.
Support audit and inspection preparation by ensuring accurate records.
Monitor compliance with funding agreements, internal policies, and sector regulations.
Generate internal reports and track trends to support decision-making.
3. Administrative Support
Manage scheduling and calendar for the Director.
Prepare meeting materials, take minutes, and track action items.
Draft program updates, internal memos, and correspondence.
Coordinate logistics for site visits, inspections, and stakeholder meetings.
4. Internal Communication & Team Support
Act as a liaison between the Director, shelter/housing managers, and internal departments (HR, Finance, Facilities).
Support consistent documentation and reporting practices across teams.
Assist with planning and coordination of agency-wide events (e.g., staff and client appreciation activities).

Qualifications:
3-5 years of experience in program coordination, administrative support, or operations--preferably in the nonprofit, housing, or social services sector.
Strong organizational and multitasking abilities with attention to detail.
Excellent communication skills (written and verbal), with experience preparing reports and professional correspondence.
Proficiency in Microsoft Office, SharePoint, Canva, and Mailchimp; experience with data/reporting tools such as TGRIP and POES is an asset.
Knowledge of homelessness, shelter systems, housing supports, and nonprofit operations.
Familiarity with Anti-Oppression/Anti-Racism (AOAR) frameworks and a commitment to inclusive practices.
Ability to work independently and collaboratively in a fast-paced, mission-driven environment.
A current Criminal Record Check is required.
Job Types: Full-time, Permanent
Pay: $65,000.00-$75,000.00 per year
