Working closely with Manager, Youth Services, the Program Assistant supports the communications and administrative function of Pathways to Education program (Pathways). This position has a specific focus on the growth of the Trauma Responsive portfolio. The Program Assistant also monitors and supports social media engagement and presence for the Trauma Responsive portfolio; supports consistent branding standards, particularly related to flyers and other communications with an external focus; maintains and edits the organization's website. The Program Assistant will also support the development of various communications materials relevant to Pathways while also supporting the marketing, scheduling and outreach of Trauma Responsive trainings.
Key Responsibilities
Internal Communications
Work closely with the Pathways team to ensure that deliverables and results are collected, shared and distributed professionally
Support other internal communications activities under direction of Manager
Social media and external communications
Create, disseminate and monitor roll out of communication messaging and branding including uploading materials on websites, and ensuring appropriate and on-going social media content
Liaise, interact and outreach to potential clients
Review and update communication materials and forms to support branding consistency
Communication Responsibilities
Support completion of reports, grants and promotional materials and documents.
With guidance from supervisor or delegate, support successful logistical aspects of booking trainings
Administrative
Provide administrative support for both Pathways and Trauma Responsive portfolio communications activities in order to ensure high quality material
Act as administrative support for the Pathways Leadership Team
Support processes related to communications improvements (e.g., website, social media, analytics tracking, print materials)
Support client engagement initiatives such as satisfaction surveys and experience based co-design initiatives
Organizational Responsibilities
Comply with all relevant legislation and KCHC policies, including privacy laws
Commits to acquiring an understanding of the importance of trauma responsiveness and the impact of Adverse Childhood Experiences (ACEs)
Commits to demonstrating an ongoing commitment to Equity, Diversity, Inclusion, Indigenization and Accessibility (EDIIA) by representing the diverse nature of our communities, promoting and practicing inclusion
Supports consistent application and development of KCHC policies and procedures
Supports KCHC's student and volunteer placement programs
Promotes awareness of and participation in KCHC activities
Demonstrated commitment to continuous learning and quality improvement
On occasion, perform other temporary duties as required
Basic Education and Experience Requirements
Minimum 1 year of post-secondary education. Bachelor's degree or College Diploma in relevant discipline preferred
Minimum 2 years of work experience demonstrating skills that can be directly applied to position
Experience updating websites and using social media as a communications tool. Experience with communications design using editing tools such as Canva or Photoshop
Experience or knowledge in entrepreneurship or social enterprises
Knowledge, Skills and Abilities
Familiarity with KCHC and its programs, current communications activities, particularly KCHC's work as leaders in Trauma Responsive work and Pathways Trauma Responsive Team Leads (TRTLs) prefered
Self-starter with evidence of high levels of organization, attention to detail, and time management
Ability to work cooperatively and communicate well in a team based environment
Excellent written and digital communication skills.
Competence with MS Office programs, including Word, PowerPoint, and Outlook. Ability to use other communication tools/platforms an asset
Demonstrated commitment to continuous learning and quality improvement
Demonstrated ability to attend work regularly and meet the physical demands of the position
Lived experience within equity deserving populations
