ARAISA staff work in a hybrid environment which includes a minimum of 2 days per week in the ARAISA office.

Travel within the Atlantic Region may be occasionally required.

THE OPPORTUNITY



The Atlantic Region Association of Immigrant Serving Agencies (ARAISA) is looking for a Program Assistant to join its growing team.

The Program Assistant reports to the Program Manager and works collaboratively with the Sector Engagement Lead, Learning Lead, and other program staff to support program delivery, regional sector engagement, and ARAISA operations.

ARAISA works to increase the effectiveness of its members through its initiatives to support the sector and its contributions to regional and national forums. ARAISA provides professional development and networking opportunities, facilitates information and resource exchange, hosts sector-specific working groups, convenes meetings with key stakeholders, and represents its members through national bodies, with the goal of having a positive impact on settlement and integration policies and practices.

MAJOR RESPONSIBILITIES



Provides support with event coordination, including consultations, conferences, training sessions, workshops, webinars, and meetings, which may include creating and reviewing supporting materials, sending invitations, monitoring registration, liaising with vendors, handling logistics, drafting minutes, reconciling expenses, participant travel reimbursement, assisting with reports, and following up on actions as needed Supports the population of a CRM database and maintains up-to-date details on contacts Provides support to ARAISA-hosted communities of practice and committees, including liaising with participants, note-taking, and information sharing Provides technology support during online and in-person ARAISA events Assists in data and information collection required for tracking, performance measurement, and reporting purposes Assists with internal communications and external vendor coordination including translation of short texts, liaises with translators/interpreters, and reviews materials in French and English Contributes to a positive team environment where equity, diversity, inclusion, trust, learning and well-being are valued.
The Program Assistant is also responsible for:

Providing support to ARAISA's programs and operations as required Representing ARAISA at events or external meetings, when requested Other duties, as necessary

EXPERIENCE/QUALIFICATIONS



Post-secondary study in a relevant field(s). Minimum 2 years of experience in program support work, including customer/client service, work planning, email campaigns, event support, logistics, expense processing. Excellent written and verbal communication skills in English required; French is a strong asset. Experience working with CRMs, entering and updating contacts, creating and administering campaigns, including email marketing and registration forms, and tracking. Strong interpersonal skills including the ability to consult, collaborate, and work as part of a team. Knowledge of information technology and digital environments, and an ability to troubleshoot and provide occasional support to others. Experience in taking meeting minutes. Excellent skills in Excel and advanced computer proficiency in Word, Outlook, MS Teams, SharePoint, and Zoom. Strong time management and organizational skills, including efficiently prioritizing and managing multiple tasks. Attention to detail and high level of accuracy. Demonstrated ability to work both independently and cooperatively with a high degree of initiative and responsibility. Must be legally able to work in Canada.
