Here\xe2\x80\x99s what you will do:

The Program Assistant, Education and Engagement will complete a broad variety of tasks that support POGO\xe2\x80\x99s clinical education strategy and patient, family and survivor education and engagement strategy. Specifically:
  • Coordinate logistics for in-person and virtual conferences and other events, including:
  • venue research and booking site inspections for in-person events;
  • research and recommend event platforms/technology to support virtual events;
  • coordinate logistics of virtual events, including scheduling test sessions
  • coordinate onsite vendors, such as audio-visual & entertainment;
  • coordinate all aspects of event registration, including creating participant badges and facilitating onsite registration;
  • book travel arrangements for speakers/VIPs and coordinate expense reimbursement;
  • disseminate participant evaluations and summarize event feedback;
  • coordinate onsite aspects of events day-of, both in-person and virtual;
  • other activities as needed to uphold POGO\xe2\x80\x99s reputation as a provider of first-rate professional education for pediatric oncology health professionals.
  • Support Education and Engagement projects:
  • schedule advisory committee and planning meetings;
  • track attendance at planning meetings, draft agendas, record minutes / action items as required, and conduct appropriate follow-up;
  • prepare meeting and work schedules/critical paths;
  • generate and/or edit documents, records and reports;
  • conduct records management;
  • ensure the privacy and security of personal health and confidential information.
  • Communications:
  • assist with the development of promotional content for all education and engagement-related projects, including web pages, social media and email campaigns;
  • create and maintain distribution/contact lists in accordance with Canada\xe2\x80\x99s Anti-Spam Legislation;
  • assist with developing written communication to support various projects (i.e. drafting invitation and thank you letters for committee members, speakers, vendors, volunteers, etc.)
Here\xe2\x80\x99s what you will need to be successful:
  • Completion of college diploma in business administration, event management or other relevant field;
  • 1-3 years\xe2\x80\x99 work experience in event coordination and/or project coordination, including in-person and virtual educational events. Experience in healthcare/clinical education or non-profit sector is considered an asset;
  • Exceptional organizational skills and impeccable attention to detail with a high degree of accuracy;
  • Strong written and verbal communication skills;
  • High degree of professionalism and discretion in dealing with different stakeholders including clinical leaders, patients, families and survivors, etc.;
  • Customer service oriented with strong relationship management skills;
  • High proficiency in MS Outlook, PowerPoint, Word, MS Teams. Basic proficiency in MS Excel and Wordpress. Experience in Zoom webinar, EventMobi, Sli.do and Raiser\xe2\x80\x99s Edge an asset;
  • Willingness to work flexible hours, including evenings and occasional weekends
