Job Summary:
The Production Coordinator (PC) is the key point of contact for the production office, especially during prep and production while the Supervising Producer, Production Manager, and Assistant Production Manager are in transit, in meetings or on set.
The PC is crucial to ensuring that production moves smoothly and efficiently and will often provide administrative and email support to the rest of the team while they are away from their desks.
The PC coordinates many aspects of production including prep schedules, crew outreach and onboarding, catering orders, script revisions, and business affairs paperwork, including applications, clearances and releases, and contracts and permits, and reports.
Key Responsibilities
Creating and implement prep schedules with input from other team members, including rehearsals, location scouts, gear prep, creative meetings etc.
Being the key point of contact for email queries from volunteers and residents and redirecting questions as needed to relevant team members; facilitating conversation and collaboration across production
Keeping an eye on our calendar and critical path to production; sending out reminders as needed to keep the team on schedule
Creating and maintaining prep and production schedules; booking virtual and in-person prep and production meetings and ensuring all attendees have correct information
Support the casting process, including booking rehearsals, prepping necessary paperwork and attending rehearsals
Supporting the crewing up process for productions, including reviewing applications in our database, filling out and locking crew grids, coordinating electronic deal memos (ensuring all crew is tracked in Salesforce) and sharing onboarding information
Coordinating script revisions, insurance applications, clearances and art releases, contracts and permits by gathering information from relevant team members and propelling paperwork towards completion by deadline
Being the point person for catering orders; communicating dietary restrictions, allergies and other notes to the caterers
Supporting the creation of call sheets with the production team, residents and volunteers; Sending call sheets the night before the shoot
If necessary, working with the production team and producers to implement COVID protocols, including communication with crew regarding vaccination status, locking in set medic for cast/crew testing, issuing and checking daily COVID declarations for cast/crew, and dissemination and filing of COVID documentation (as needed).
Required Qualifications:
Strong and efficient interpersonal and professional communication skills-written and verbal
Strong organizational skills with a keen attention to detail and an ability to plan, prioritize, follow-up and problem-solve
Ability to work as an effective member of a team
Ability to multi-task with accuracy and manage time within a fast-paced environment
Positive attitude
Computer savvy and proficient with Microsoft Office Suite, Adobe Acrobat Pro, Google Suite, Salesforce, Slack and Asana
Basic knowledge of camera, G&E and audio gear
While this is primarily an office role, some on set experience is a benefit
