This is an
operations-focused administrative role
that ensures the backend of the business is clean, connected, and dependable so our production managers and leadership team can execute at a high level.
Key Responsibilities
Production Scheduling:
Coordinate and maintain painting schedules so jobs, crews, and timelines stay aligned
Financial Accuracy & Tracking:
Track expenses, ensure accounting accuracy, and maintain clean financial records
Payroll Organization:
Assist with payroll preparation and verification
Systems & Process Management:
Ensure internal systems (CRM, scheduling, accounting tools) communicate correctly
CRM Management:
Maintain accurate customer, job, and production records
Inbound Call & Email Management:
Professionally handle calls, emails, and internal communications
Client & Team Communication:
Act as a liaison between leadership, production managers, and customers
Problem Solving:
Identify operational breakdowns and proactively propose solutions
General Administrative Support:
Support day-to-day operations to keep production running efficiently
Qualifications
Strong administrative or operations experience (construction or trades experience is an asset)
Exceptional attention to detail -- accuracy is non-negotiable
Strong math, organization, and process-tracking skills
Proficiency with spreadsheets, Google Drive, and CRM systems
Ability to work autonomously and manage priorities without constant oversight
Clear, confident written and verbal communication
Reliable, dependable, and proactive
