Why is this role important?The Production Assistant is responsible for supporting day-to-day operational and logistical activities for certain teams in the Education, Design and Content Delivery branch. They act as a corporate resource and answer internal client questions relating to processes in the Content Delivery and User Experience departments. They provide client support and accurately triage tasks in the workflow tool based on needs, priorities, established timelines and required services (copy editing, translation, design, web publishing). They frequently liaise with internal stakeholders.What you'll do1. Develops and maintains work request submission and triage process in CIHI's internal workflow tool to ensure the timely coordination of requests.
2. Verifies that all information entered into workflow tool is accurate and complete (attachments in correct format, all files that are needed, adequate Service and Product Type selection, etc.). Consults internal stakeholders as required and follows up on outstanding action items and required participation.
3. Ensures all requests follow CIHI's publishing policies and standards.
4. Acts as a corporate resource and maintains the documentation for the policies and processes for Content Delivery. Recommends enhancements and efficiencies.
5. First point of contact for the Content Delivery department to resolve issues with the workflow tool (submitting, finding status of requests, attaching documents, setting designate, etc.). Provide updates on timelines and deliverables including making recommendations for the resolution of issues.
6. Monitors emails received in the teams' inbox and responds to clients; action or direct emails to the appropriate team.
7. Compiles metrics for quarterly and annual operational reporting.
8. Performs testing for workflow tool enhancements or process changes.
9. Provides regular status updates to supervisor, maintains communication channels between request submitters and the Content Delivery department.
10. Establishes and maintains strong working relationships with clients and colleagues.
11. Supports departmental and corporate projects as required.What you'll bring to the table
  • Post-secondary education in business administration, communications, project management or a related field. An equivalent combination of education and experience may be considered.
  • Minimum 3 years of experience coordinating editing, translation and design. Experience coordinating similar work may be considered.
  • Professional knowledge of Microsoft Office Suite, specifically Outlook, Word and Excel
  • Excellent attention to detail and organization skills
  • Ability to efficiently coordinate and prioritize multiple projects to meet deadlines
  • Excellent communication and interpersonal skills.
  • Ability to work under pressure with minimal supervision
  • Fluency in English is required, bilingualism in both official languages is an asset
