Overview:

Powerland, A Xerox Company, is seeking a Procurement Support Representative who will be responsible for managing open orders, invoicing, renewals, HPE GreenLake billing (SaaS) and receiving orders. The ideal candidate will have a strong background in procurement processes, exceptional organizational skills, and the ability to collaborate effectively with internal stakeholders and external vendors.

Responsibilities:

  • Open Orders Management:
  • Monitor and manage open orders, ensuring timely processing and tracking to meet delivery deadlines.
  • Collaborate with the procurement team to resolve any issues related to open orders and communicate updates to relevant stakeholders.
  • Invoicing:
  • Oversee the invoicing process, verifying accuracy and completeness of invoices.
  • Work closely with finance and accounting teams to resolve any discrepancies and ensure timely payment to vendors.
  • Renewals:
  • Coordinate the renewal process for contracts and agreements, ensuring all necessary documentation is in place.
  • Collaborate with vendors and internal teams to negotiate favorable renewal terms and conditions.
  • Contractual Billing:
  • Manage billing processes related to contractual services, ensuring accuracy and compliance with contractual agreements.
  • Work closely with the HPE GreenLake team to address any billing inquiries or issues.
  • Receiving Orders:
  • Oversee the receiving process for procurement orders, ensuring that goods and services are received according to specifications and quality standards.
  • Collaborate with logistics and warehouse teams to resolve any issues related to order receipt and inventory management.
Requirements:
  • 2 to 4 years of relevant professional experience.
  • High school diploma with four years of relevant experience; or, Bachelor\'s degree in business administration or related fields from an accredited institution with two years of relevant professional experience.
  • Proficient in Microsoft Office applications e.g., Word, Excel, PowerPoint, Email, Outlook.
  • Attention to detail, ability to organize paperwork in a methodical way.
  • Discreet, details and clients-oriented, patient and willingness to learn new things.
