The Procurement and Warehouse Operations Lead is responsible for overseeing daily purchasing, inventory management, and warehouse coordination activities. This role ensures the accurate tracking of materials, efficient flow of goods, and compliance with company and audit requirements. The incumbent will collaborate closely with suppliers, warehouse teams, QA, accounting, and production to maintain operational accuracy, efficiency, and compliance across all functions.
Key Responsibilities:Daily and Ongoing Responsibilities:
Maintain accurate records of raw material inventory
Upload receiving documents, transfer documents, and Certificates of Analysis (COA) into the system.
Coordinate with the warehouse to manage material transfers and enforce FIFO procedures.
Track all materials including lot codes, batch codes, expiry dates, and receiving dates.
Prepare and distribute the daily receiving list and update warehouse and receiving teams accordingly.
Monitor inventory levels in Material Planning (MP) and ensure data accuracy.
Follow up with Quality Department regarding products on hold and report updates as needed.
Procurement & Supplier Coordination:
Place purchase orders after coordination with management.
Communicate with suppliers regarding delivery appointments, damaged materials, credit notes, and extension letters.
Address credit issues, discrepancies, or material mishandling promptly and professionally.
Nurture and maintain positive supplier relationships to support company needs and performance goals.
Reporting & Documentation:
Conduct monthly inventory counts, prepare final reports, and reconcile discrepancies.
Participate in BRC audits, mock recalls, and other compliance exercises.
Prepare and present RSPO audit documentation when required.
Provide timely responses and documentation to Accounting or other departments for pricing, credits, or reconciliation.
Submit daily BOLs, packing slips, and record updates to various locations.
Warehouse Operations & Coordination:
Support shipment planning, door allocation, and workforce scheduling (e.g., Burlington operations).
Cross-verify inventory with team members to ensure accuracy.
Manage attendance records, temperature logs, and transfer documentation.
Identify and calculate shortages after verifying transfer and shipment records.
Maintain operational efficiency and cleanliness within the warehouse environment.

Job Requirements:
Proven experience in procurement, inventory, or warehouse operations, preferably in a food manufacturing or distribution environment.
Strong proficiency with MS Office, ERP systems, and standard office technology.
Excellent understanding of inventory and supply chain management principles.
Strong organizational skills with attention to detail and data accuracy.
Ability to analyze and troubleshoot quantity or documentation discrepancies.
Experience supporting audits and compliance processes (e.g., BRC, RSPO).
Strong communication and interpersonal skills with the ability to work collaboratively across departments.
Ability to prioritize tasks, work under pressure, and meet deadlines.
Comfortable working in cold environments
