Job Overview
We're looking for a Print Production Coordinator/Customer Service Representative who thrives in a multitasking environment. This person will be the first point of contact for customers while helping ensure that each job moves smoothly through production. If you enjoy balancing customer interaction with hands-on production work, this role is right for you.
Key Responsibilities
Customer Service
Greet customers in person, over the phone, and by email with a warm, professional attitude.
Help clients understand their options--materials, sizes, colors, timelines--without overcomplicating things.
Prepare accurate quotes, confirm details, and provide clear expectations.
Maintain friendly relationships with regular customers and ensure new clients have a positive first experience.
Resolve customer issues quickly, calmly, and with solutions Dixon Ink can realistically deliver.
Order & Workflow Coordination
Create job tickets in a clean, organized format that production can follow easily.
Communicate with the production team to prioritize jobs, especially rush orders or large-volume projects.
Confirm proofs and approvals with customers to prevent delays or errors.
Keep customers informed about job status--especially when timelines shift.
Ensure all completed jobs are accurate, labelled, packaged, and ready for pickup/delivery.
Production Support
Assist with everyday shop tasks when need.
Review customer files and help prepare artwork for printing when needed.
Monitor supply levels (vinyl, substrates, ink, paper) and notify management when items need to be reordered.
Keep the workspace clean, organized, and safe.
Administrative & Shop Support
Process payments, invoicing, and basic record keeping.
Update customer files and notes so repeat orders can be handled smoothly.
Help ensure the shop maintains Dixon Ink's reputation for being fast, friendly, and reliable.
Support other team members whenever needed--it's a small shop, and we all pitch in.
Qualifications
Experience in a print or sign shop is an asset but not required--willingness to learn is essential.
Strong communication and customer service skills.
Excellent attention to detail and ability to handle multiple jobs at once.
Comfortable using a computer; experience with QuickBooks, Word, Excel, Outlook or similar software is a bonus.
Ability to work on your feet and handle light physical tasks.
Dependable, friendly, and able to stay calm during busy periods.
High school diploma or equivalent required; further education is an advantage.
