Corporate Immigration Law Firm (CILF) is seeking a Practice Coordinator (Junior Law Clerk) to join our dynamic and collaborative team. This role combines information technology support and administrative tasks with the opportunity for substantive legal file work, offering an excellent opportunity to gain hands-on experience in a fast-paced law firm environment. Administrative Duties:


Manage day to day administrative tasks within the firm including but not limited to: + Manage and troubleshoot firm IT issues including firm and personal devices. Liaising with external IT provider. Assisting with client IT issues on as needed basis;
+ Manage firm's case management system, Officio;
+ Manage monthly invoice billing cycle. Sending all client invoices and answering billing question;
+ Monitor government portals for incoming correspondence;
+ Manage firm's social media pages (LinkedIn and X). Prepare and send firm bulletins via email newsletter system. Post firm bulletins to website via WordPress;
+ Organize firm-wide events (i.e. staff appreciation, holidays, trainings, etc.);
+ Assist with hiring, draft and post job openings, review resumes, and schedule interviews;
+ Responsible for onboarding new employees and opening their accounts in all firm systems (IT, telephone, etc.);
+ Assist as back up to our firm administrator for opening files, scheduling consultations, sending couriers, drafting engagement letters, answering firm's main line;
+ Cover reception as needed.







Law Clerk Duties:


Learn and assist with client files including but not limited to: + Research specific visa office/application type requirements and prepare initial list of documents and information required for review by lawyer;
+ Prepare application forms, drafts and documents for work permit applications, study permit applications, temporary resident visas, permanent residence and citizenship matters independently at the instruction of a lawyer;
+ Prepare applications for filing via government portals in a timely manner;
+ Management of multiple files from beginning to end including the provision of regular updates to clients;
+ Deal directly with client in writing and by phone clearly, concisely and in a timely manner;
+ Complete tasks efficiently in a busy environment under time constraints.



Requirements:


Post-Secondary Degree/Diploma Past work experience demonstrating exceptionally strong computer skills including MS Office Suite, Citrix Environment, Adobe Acrobat, Wordpress, and Constant Contact (Soluno, Officio, iOS and Android OS experience an asset) Past experience in immigration an asset Ability to prioritize effectively, manage competing demands and meet deadlines Client service mindset High level of attention to detail * Excellent written and verbal communication skills
