The Property Manager is a critical member of the senior management team and is responsible for leading the operations and financial performance for a diverse portfolio of clients, including the oversight of Operations, Human Resources, and Finance for Portsmouth Residential Inc.
Travel requirement
: the successful candidate will have access to a remote working environment. The successful candidate will be required to travel to properties within the Sault Ste. Marie area.
Operational Responsibilities
  • Provide leadership, guidance, and coaching to organizational team members.
  • Collaborate with the Senior Management and Executive team to develop business strategies and goals.
  • Take full operational responsibility for assigned real estate.
  • Embody core values and foster a family environment amongst coworkers.
  • Manage the development of all new business and demonstrate an entrepreneurial approach to introducing new revenue streams.
  • Oversee marketing and leasing operation to maximize occupancy levels.

  • Plan, coordinate, and oversee tenant arrival, departure, and turnover.
  • To perform local market research and report back on suggested improvements.
  • To monitor real estate performance against agreed criteria and adhere to weekly and monthly reporting requirements.
  • Manage and coordinate all outgoing mail and courier shipments, if applicable.
  • Document all tenant communication in management program.
  • To manage the planning, review, and implementation of refurbishment programs, planned maintenance, and periodic furniture replacement/renewal programs.
  • To consult regularly and provide information to tenant and other key stakeholders on building contracts or refurbishment programs.
  • To liaise with any contractors working in or around the property.
  • To review tenancy documentation for accuracy.
  • To oversee the provision of a first-class customer experience, ensuring that all enquiries, correspondence, or complaints are dealt with quickly and effectively.
  • To be on-call and respond to emergencies as required.
  • Representing Portsmouth Residential Inc. within the community developing positive working relationship with key stakeholders
  • To monitor and regularly review the performance of staff teams, helping them to constantly improve performance
  • To actively find and sell new clients on property management opportunities and service delivery.
  • To have the ability to travel throughout the Sault Ste. Marie and surrounding areas to meet with clients, or visit properties as required.
  • To liaise with the public and other external stakeholders on behalf of Portsmouth Residential Inc.
  • Maintain maximum occupancy rates for our clients and an accurate account for property occupancy rates,
  • Perform other tasks as assigned by the reporting manager.

Human Resources Responsibilities
  • Oversee all on site Human Resources, responding to all people related issues, and escalating any problems or concerns to the Vice President, Culture and Vice President, Operations, as required.
  • Participate in the selection and training of new team members.
  • Manage on site Health & Safety developing and implementing program initiatives reporting and acting on Health and Safety issues in collaboration with the JHSC.
  • To comply and enforce obligations under Employment Related legislation and regulations, including but not limited to the Employment Standards Act, Human Rights Code, Occupational Health and Safety Act, and the Accessibility for Ontarian\'s with Disabilities act.

Financial Responsibilities
  • To control expenditures within set budgets on all aspects of the accommodation including maintenance and resident event initiatives.
  • Prepare property income statements on a monthly, quarterly and annual basis.
  • Receive mail and collate invoices into weekly and monthly payment runs.
  • Prepare cheques for signature and record payments in management software.
  • To take prompt action to recover rent arrears or other payments, taking legal action where necessary.
  • Report to president on a monthly basis as regards overdue accounts.
  • Prepare and issue N4 Notices to non-paying residents.
  • Prepare and apply for tenant evictions via the Landlord and Tenant Board, as required.
  • To assist in the preparation of budgets on an annual basis and working with the Finance team on periodic re-forecasting.
  • To ensure that all invoices are processed in good time, using correct expense categories.
  • To charge residents for any damage to property.
  • To serve notices of rent (or other) changes on time.
