Our client is looking for a PM Dispatcher, Operations Specialist role, it is vital to the coordination of all afternoon pickups and deliveries within the GTA. Efficiency and timeliness are required in order to provide the best service to regular customers within operational capabilities. It is a full time permanent role, Monday to Friday schedule , shift from 1:00 pm to 9:00 pm, Group insurance & benefits after three months of employment, RRSP with matching employer contribution and more. The Salary is $50K - $60K. This is in office position.

Responsibilities

  • Understand and know the location of all drivers based on handover information from the AM dispatcher
  • Verify equipment and driver availability at the start of the shift
  • Ensure drivers are dispatched in a timely manner based on the scheduled pick up, delivery and appointment times
  • Ensure all pickups are planned two hours in advance, according to the zones, and returned back to the terminal in order to meet service commitments for line-haul departure
  • Dispatch drivers based on cut off times and delivery appointments
  • Issue gate pass to drivers and check option 94 in the AS400 when the system identifies equipment that is 'Out of Service' or requires maintenance
  • Check email for any rush pickups and out of service equipment
  • Dispatch all afternoon deliveries on time
  • Call customers when appointment freight is delayed, including updating the DBA
  • Call the dock if any regular/request pickup is delayed and provide them with an ETA
  • Review the pickup screen and prioritize ODFL, rocksolid, hot shipments
  • Check to ensure that all high profile customer deliveries are ready to be assigned and dispatched based on times (ex: Sapa, LCBO, Domtar etc.)
  • Inform drivers of any special delivery requirements - ex: pump truck, hard hats, etc.
  • Ensure drivers are compliant with COVID PPE and safety PPE at all times
  • Assign driver pickups based on location, equipment and customer locations
  • Enter pick up ticket in the AS400 when required and regular ticket when advised by the customer
  • Ensure shipments are picked up on the correct unit, including the heat freight
  • Enter comments in the pickup ticket if delayed until the following day
  • Update the dispatch planner daily - truck loads and tramps
  • Move the tags on the board sheet so that it is current and also advise the YC about all the inbound equipment
  • Acknowledge hot sheets and advise required staff members of urgent shipments
  • Reschedule freight and call customer when deliveries cannot be made on the ETA
  • OWI all drivers when returning back to the terminal and assign them doors at that time
  • Ensure the drivers are going in direct to doors while returning from regular customers
  • Ensure that all trailers dropped at customer sites are properly cleaned and damage-free
  • Enter f11 comments when freight is damaged and refused
  • Reschedule shipments when freight is refused and reprint the delivery receipt
  • Update the Marsh report in real-time and completed at the end of the shift
  • Ensure the handhelds are functioning and enter IT tickets to fix the glitches, if needed
  • Update the zone workbook, including planning the empty drops and deliveries for handover to midnight shift
  • Adhere to all the policies and procedures in place, refer to the PM dispatch, certification and dispatch training manual for the best work practices
  • Accept the load manifests and PODs from the drivers and scan them in the system
  • Monitor 191 screen from time to time in order to clear the scanned paperwork by advising drivers to rescan the paperwork if needed
  • Refer drivers to the Safety Department in case of incidents, collisions etc.
  • Deal with customers, drivers, central dispatch, the dock and other terminals
  • Respond to all emails within thirty (30) minutes
  • Ensure ongoing communication and follow up with peers, drivers, other departments including the Dock and Garage, fellow suppliers and our customers
  • Act with respect, courtesy and professionalism towards peers, drivers, fellow suppliers and customers
  • Perform any other related tasks as assigned or required by the Operations Manager
Qualifications
  • 1-3 years experience in the transportation industry
  • Good communication skills - spoken and written, including proper telephone etiquette
Thorough knowledge of the GTA and the surrounding areas * Knowledge of equipment - tractors and trailers, including weight restrictions
  • Detail oriented
  • Good organizational skills and ability to prioritize effectively and efficiently
  • Extensive knowledge of operations
