Job Description


The Planning & Operations Manager will play a vital role within the Business Technology Department, focusing on department planning and execution, financial analysis and reporting, data reporting and analysis, operational coordination, and continuous improvement. This position involves significant interaction with Business Technology leaders and the Financial Planning & Analysis (FP&A) team. The ideal candidate will be a strategic thinker with strong analytical, organizational, and communication skills, able to independently manage multiple responsibilities and drive departmental efficiency and effectiveness. \ Responsibilities:

Department Planning & Execution:
  • Collaborate with Business Technology leaders to plan, execute, and track departmental goals, ensuring risk mitigation and issue/risk tracking.
  • Participate in annual budgeting, workforce planning, and goal-setting processes, generating monthly and quarterly forecasts across software, services, and headcount.
  • Oversee and coordinate the team\'s annual budget planning, ensuring compliance with organizational financial policies and best practices.
  • Identify opportunities for cost savings and efficiency improvements, implementing cost-effective solutions without compromising quality or timelines.
  • Manage all administrative tasks related to the acquisition and management of software licenses and renewals.
Financial Analysis & Reporting:
  • Conduct quarterly financial reporting through dashboards and other methods, ensuring transparency in managing towards plan.
  • Create Total Cost of Ownership summary documents for leaders to make informed technology and financial decisions by gathering inputs from various stakeholders.
  • Work closely with Financial Planning & Analysis (FP&A) team to support financial operations in a technical environment.
  • Process new approval and funding requests, as well as change requests for existing purchase orders, through Coupa.
  • Regularly review the team\'s software license list with managers to ensure that all software needs are met, licenses are utilized efficiently, and upcoming renewals or changes are planned in advance.
Data Reporting, Analysis, and Interpretation:
  • Collect, analyze, and interpret large datasets to identify trends and patterns, and present actionable insights to BizTech leadership
  • Develop and maintain automated dashboards and reports, ensuring accuracy and consistency through data validation and quality checks.
  • Utilize BI tools (e.g., ThoughtSpot) to design and implement reports and visualizations that effectively communicate insights.
  • Assist in creating and deploying NPS surveys, summarizing data with recommendations for stakeholders.
  • Generate ad-hoc reports and perform detailed analysis as required by business stakeholders.
Operational Coordination and Communication:
  • Manage and update BizTech Gnet pages and Google Shared Drives for consistent and accurate project and process documentation, promoting best practices for folder and file organization.
  • Schedule key department meetings (All Hands, Partners, Extended Leadership), draft agendas, prepare materials, gather presenter information, take detailed notes, distribute and follow up on action items, and publish recordings.
  • Draft and prepare department communications and presentation materials, ensuring clarity, consistency, and alignment with organizational messaging and goals.
  • Collaborate with managers to ensure a comprehensive and tailored onboarding/offboarding process for new hires and contractors, regularly assessing and refining onboarding/offboarding processes.
  • Regularly update team distribution lists, adding and removing members and creating new lists as needed to support team communication.
Best Practices and Continuous Improvement:
  • Identify opportunities for continuous improvement and streamline operations through smart use of processes and self-service.
  • Work with leadership to create standards and common frameworks to promote best practices and knowledge sharing across teams and the department.
  • Manage and continuously improve the department\'s recognition programs, including helping to develop criteria, distributing nomination surveys, and overseeing the dispersal of rewards.
  • Collect and analyze internal customer and employee feedback to refine and enhance processes.
Experience:
  • 5+ years of experience in business operations or related areas such as financial management reporting, strategic planning, portfolio/program management, and communications.
  • Experience with financial operations support in a technical environment, including financial reporting.
  • Proven experience with BI tools such as ThoughtSpot, Tableau, or Power BI.
  • Experience in managing software licenses and procurement.
  • Experience managing shared drives and permissions, and establishing best practices for information organization.

  • Exceptional ability to assess, summarize, and present priorities and decision points, aiding leadership in effective decision-making.
  • Proficiency in influencing without authority, collaboration, persuasion, and consensus-building across diverse teams and disciplines.
  • Strong analytical and problem-solving skills, capable of translating data into actionable insights and providing high-level perspectives.
  • Expertise in BI tools and data visualization techniques to effectively communicate complex information.
  • Advanced proficiency in Google Workspace and expert-level skills in spreadsheets for efficient data management and analysis.
  • Excellent written and verbal communication skills, with effective meeting facilitation and executive presentation capabilities.
  • Ability to work independently, make autonomous decisions, and navigate a fast-paced environment.
  • Solid organizational and multitasking abilities with a keen attention to detail and accuracy.
  • Creative and innovative thinker with a proactive approach to identifying and solving potential issues before they escalate.
Education:
  • Bachelor\'s degree in Business Administration, Finance, Accounting, Engineering, Computer Science, or a related field.
  • CSM or PMP/PMI certification or related project experience is a plus.
\ $92,000 - $138,000 a yearThe Canadian base salary range for this full-time position is $92,000 - $138,000 + bonus + equity + benefits. Our salary ranges are determined by role, level, and location.
