About the Role
We are seeking a proactive and adaptable
Personal Executive Assistant
to support the Vice President
on-site
. This role requires
advanced Excel proficiency
(formulas, pivot tables, reporting) and strong comfort with modern digital tools, including AI, marketing platforms, and web systems. The ideal candidate is organized, tech-savvy, and capable of acting as a representative for the VP with customers, suppliers, and service providers.
This is not a routine admin role -- the successful candidate will also
cross-train across other operational roles
to provide coverage when staff are on vacation or leave, ensuring business continuity.
In this role, you will play a crucial part in supporting our operations and enhancing productivity through effective administrative assistance. Your contributions will directly impact RME's mission of delivering exceptional service and quality.
Key Responsibilities
Excel & Data Management
Build and maintain advanced spreadsheets with formulas, pivot tables, charts, and data analysis.
Create reports, pricing models, and tools to support business decision-making.
Digital Tools & Marketing Support
Use modern software and AI tools to streamline workflows.
Assist with digital marketing: marketing projects, website updates, social media scheduling, email campaigns, and analytics tracking.
Communication & Representation
Communicate directly with customers, suppliers, and stakeholders on behalf of the VP providing exceptional customer service.
Source vendors/service providers, request quotes, and
schedule appointments
Cross-Functional Coverage
Train across administrative, marketing, and operational roles to provide backup coverage during vacations or absences.
Support general business operations as needed to ensure smooth workflow.
Executive & Personal Support
Manage the VP's calendar, appointments, and meetings.
Assist with bookkeeping tasks as needed.
Maintain organized filing systems for documents.
Handle data entry with accuracy and attention to detail.
Coordinate meetings and prepare necessary materials.
Assist in coordinating and executing staff events
Assist in various administrative tasks to enhance operational efficiency.
Assist with occasional personal tasks & errands.
Required Skills & Qualifications
Advanced Microsoft Excel expertise
-- must be highly confident with formulas, pivot tables, reporting, and complex spreadsheet creation.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint)
Strong organizational skills with attention to detail
Strong computer literacy with
modern tools and platforms
(AI assistants, online research, web & marketing design tools).
Experience coordinating with vendors, suppliers, and contractors -- including
sourcing and appointment scheduling
.
Excellent communication skills, both written and verbal.
Strong typing skills with accuracy in data entry
Highly organized, adaptable, and able to manage multiple priorities.
Professionalism, discretion, and ability to represent leadership effectively.
Preferred Skills
Experience with website platforms (Weebly, Wix, Mailchimp).
Familiarity with Canva, Adobe, or similar tools for marketing support.
Background in small business, customer service, or operations.
The ideal candidate must have open availability to work as needed during business hours 7:30am-5:00pm M-F.

Pay: $22.00-$26.00 per hour
