Overview


We are seeking a highly organized and proactive Personal Assistant to support executive management with daily administrative tasks. Purchasing overseas requires a Mandarin speaker. The ideal candidate will possess strong clerical skills, excellent communication abilities, and proficiency in various office software. This role offers an opportunity to work in a dynamic environment where attention to detail and professionalism are essential. The position is paid and suitable for individuals with prior office or administrative experience.

Responsibilities



Manage and maintain calendars using Microsoft Outlook Calendar and Google Workspace, scheduling appointments and meetings efficiently Handle incoming calls via multi-line phone systems with professional phone etiquette Perform data entry, filing, and document proofreading to ensure accuracy and organization Assist with bookkeeping tasks using QuickBooks and perform basic financial record keeping Prepare correspondence, reports, and presentations utilizing Microsoft Office applications Coordinate with clients and vendors through email, including the use of DocuSign for electronic signatures Support front desk operations, greeting visitors and managing office supplies Organize files and documents to ensure easy retrieval and compliance with company policies Provide exceptional customer service in all interactions, demonstrating professionalism and courtesy

Requirements



Proven clerical or administrative experience in an office setting Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace tools Experience with QuickBooks, bookkeeping, data entry, and filing systems Strong organizational skills with the ability to multitask effectively Excellent typing skills for efficient document preparation and data entry Knowledge of multi-line phone systems and front desk procedures Attention to detail for proofreading documents and maintaining accurate records Familiarity with DocuSign or similar electronic signature platforms is a plus Exceptional communication skills, including phone etiquette and customer service experience Ability to work independently with minimal supervision while managing multiple priorities

Job Type: Part-time

Pay: $17.85-$27.33 per hour

Expected hours: 16 - 40 per week
