This is an in-person role requiring strong judgment, discretion, and excellent follow-through. You'll manage errands, scheduling, bookings, vendor coordination, and day-to-day life admin--keeping everything running smoothly and anticipating needs.
Responsibilities
1) Personal & Household Support (Primary)
Scheduling & Life Admin
Manage personal calendar: appointments, commitments, reminders, buffers, and confirmations
Coordinate reservations (restaurants, events), services, and recurring appointments (e.g., health, home, auto)
Track important dates (birthdays, anniversaries), gifting, and planning ahead
Errands & On-the-Ground Support
Run errands (shopping, returns, pickups/drop-offs, deliveries)
Coordinate household needs: supplies restocking, service appointments, and vendor visits
Manage packages, orders, and basic household organization
Travel & Bookings
Plan and book personal travel: flights, hotels, ground transportation, and itineraries
Handle changes/cancellations and keep all confirmations organized and accessible
Coordinate trip details (reservations, schedules, ticketing)
Vendors & Services
Source and manage vendors (home services, repairs, cleaning, personal services): obtain quotes, schedule, follow up
Maintain a trusted vendor list, notes, and service history
Ensure tasks are completed to standard and on time
2) Light Business Support (Secondary)
Schedule or confirm occasional business meetings and logistics
Basic inbox support: flag priorities, draft short replies when requested
Light admin tasks: simple documents, scanning, filing, expense/receipt organization
Coordinate one-off business-related errands (printing, pickups, deliveries)
2+ years as a Personal Assistant, Executive Assistant, or similar role (or equivalent demonstrated capability)
Extremely organized, reliable, and detail-oriented; excellent follow-through
Strong written and verbal communication
High discretion with confidential and sensitive information
Comfortable with fast-changing priorities and problem-solving independently
Tech comfortable: Google Workspace or Microsoft 365, calendars, notes, basic spreadsheets
Nice-to-Haves
Valid driver's license and comfort driving locally (if applicable)
Experience coordinating household vendors and personal travel
