Position Description




Reporting to the Director, People and Culture, the People Services Specialist is responsible for administering Surrey Place's Group Benefits and Pension plans, coordinating leaves of absence, and maintaining the integrity and accuracy of the Human Resources Information System (HRIS).

Main Responsibilities



Human Resources Information System:



Provide key leadership and support for the Human Resources Information System (HRIS). Responsible for entering, troubleshooting, and maintaining accurate and timely data within the HRIS, including mass updates and annual entitlements. Develop and deliver customized HRIS reports as needed, including time and attendance reports, customized employee information reports, and organizational chart reports. Calculate and process terminations and retirements. Assist in monitoring, updating, and auditing employee performance management schedules, and processing annual salary step increases. Collaborate with the People Services team, IT, Finance, and external vendors to resolve issues as it relates to HR data. Update documentation and prepare staff communications as it relates to the HRIS. Maintain the HRIS and develop expertise by providing training to staff as needed. Work closely with the Manager, Payroll, performing bi-weekly payroll review, responsible for triaging, investigating, and problem-solving issues as they arise. Maintain and monitor HRIS data integrity through regular audits, updates, and validation processes to ensure accuracy, consistency, and reliability of employee information.

Benefits and Pension:



Administer Surrey Place's benefits and pension plans including accurate enrollment, filings, and forms, ensuring profiles are updated both online and in the HRIS. Perform monthly benefit reconciliations, and prepare reports as requested. Assist employees with any issues or inquiries related to benefits and/or pensions. Collaborate with the People Services team, Finance, and external vendors to resolve issues as it relates to benefits and pensions. Work closely with the Total Rewards Specialist in implementing the Total Rewards Strategy.

Leave of Absences:



Manage all paperwork for maternity leaves, unpaid leaves, and pre-paid leaves, and updating HRIS, benefits, and pension as required.

Employee Relations and Audits:



Provide support to program Vice Presidents, Directors, and Managers on various human resources issues and organizational initiatives, including policies and procedures, collective agreement interpretation, HRIS management, attendance and performance management. Provide support to Finance with external audits as required. Conduct annual registration audit for registered health professionals. Participate in HR projects related to data improvement, employee engagement, workforce planning and compensation analysis.

Qualifications



Bachelor's degree in human resources or related field, post-graduate certification in Human Resources Management or equivalent education and experience. Member in good standing with the Human Resources Professional Association (HRPA) or similar professional association or relevant work experience. 3 years' experience in a Human Resources environment with experience administering benefits and pension plans. Previous experience in a unionized workplace preferred. Knowledge of employment related to provincial legislation (i.e. Employment Standards Act). Ability to deal effectively with competing and shifting priorities. Action driven and committed to continuous quality improvement. Ability to handle highly sensitive information with confidentiality and professionalism. Proven commitment to organizational mission, vision and values and service excellence approach. Strong working knowledge of HRIS systems, experience with ADP or HRIS systems is an asset. Excellent interpersonal, communication (both oral and written), conflict resolution, and analytical skills. Highly organized and detail-oriented, with a demonstrated ability to multi-task priorities and assignments. Previous experience in the Healthcare and Social Services sector or the Service industry is considered an asset. A satisfactory Police Records Check (Vulnerable Sector Screening). Proficient with MS Office (Word, PowerPoint, Outlook and Visio) with intermediate to advanced level experience with Excel. Fluency in French is considered an asset.
