The Role: People Services Administrative Assistant (2-Months, full-time contract)
The People Services Administrative Assistant provides administrative and operational support to the People Services Department. This role is responsible for assisting with employee onboarding and offboarding documentation, maintaining accurate employee records, managing the flow of information, supporting payroll related data collection, and performing general administrative duties. The successful candidate will contribute to efficient People Services operations and a positive employee experience.
Key Duties & Responsibilities
Assist with onboarding and offboarding processes, including preparation of offer letters, release forms, and related documentation
Collect, track, and organize employee data and forms to support payroll processing
Update and maintain employee records and databases, including the Learning Management System (LMS)
Perform file audits and documentation reviews in preparation for accreditation requirements
Conduct data entry with a high level of accuracy and confidentiality
Maintain organized and up-to-date electronic and physical personnel files
Collaborate with team members on shared projects and administrative initiatives
Contribute to a positive, supportive, and respectful work environment
Perform other administrative duties as assigned
Knowledge & Skills Expectations
Preference will be given to candidates who are working toward or have completed a Diploma in Administration or Human Resource Management, and/or have 1-2 years of experience in an administrative or employee support role
Strong interpersonal, communication, and customer service skills
Demonstrated organizational, time-management, and multitasking abilities
Ability to work independently as well as collaboratively within a team environment
Proficient and comfortable using Microsoft Office Suite (Word, Excel, Outlook)
Ability to handle sensitive and confidential information with professionalism and discretion
Successful completion of a Criminal Record Check with Vulnerable Sector Search and a Child Welfare Intervention Check (to be completed upon hire with organizational support)
Reporting Relationship
This position reports to the Director of People Services.
