Job Description


Kids U Inc. is looking for a motivated person with the knowledge, understanding and experience of payroll operations. The Payroll Specialist will oversee and supervise the organization’s Canadian and U.S. payroll functions, ensuring pay is processed on time, accurately, and in compliance with government regulations. The ideal candidate will be hands-on, and is expected to manage day to day payroll operations for approximately 300+ employees, as well as supervise the Payroll Coordinator, and support HR on payroll related topics.

  • Semi-monthly payroll processing for hourly timesheet employees and salaried employees
  • Implement, maintain and review payroll processing to ensure timely and accurate processing of payroll transactions including salaries, benefits, taxes, and other deductions for both Canada and US payroll
  • Ensures accurate and timely processing of payroll updates including new hires, terminations, and changes to pay rates and associated benefits, leave balances and accruals
  • Prepares and maintains accurate records and reports of payroll transactions
  • Ensure compliance with federal, provincial, state, and local payroll, wage, and hour laws and best practices
  • Identifies and recommends updates to payroll processing systems and procedures
  • Manage internal and external audit requests
  • Year end reconciliation and processes
  • Timely response to employee and management queries regarding pay
  • Manage, maintain and administer company health and wellness plan, internal benefits and payroll communication with internal stakeholders
  • Payroll reporting and analysis of wage costs
  • Employee scheduling
  • Work with HR on various projects, benefits and payroll legislation

Skills and Knowledge Required:
  • 10 years overall experience with Payroll
  • Payroll knowledge of both Canadian and USA employees
  • Extensive knowledge of the payroll function including preparation, balancing, internal control, and deductions
  • Certified Payroll Manager (CPM), accounting education and experience considered an asset.
  • Excellent organizational skills and attention to detail.
  • Strong analytical and problem-solving skills.
  • Strong supervisory and leadership skills.
  • Proficient with Microsoft Office & Google Document suites
  • Adept at learning new software packages
  • Previous experience of Deluxe Payroll (Payweb) and Advance Tracker is considered an asset.
  • Confident self-starter who is able to work independently while working within a team
  • Strong interpersonal, communication and customer service skills
  • Adaptable to change in a dynamic environment
  • Maintain a high level of confidentiality and working with discretion
