Position Summary:



The Payroll and Finance Administrative Assistant supports the Finance Department by performing a variety of financial and administrative duties, with a focus on payroll processing, reconciliation, and financial record-keeping. This role requires a high level of attention to detail, discretion, and the ability to work both independently and collaboratively in a fast-paced nonprofit environment.

Schedule Information



Full-time, 37.5 hours per week/regular schedule.

Some evening and weekend work is required.

This position is hybrid and requires a minimum of 2 days a week onsite.

Primary Duties and Responsibilities



Payroll Administration:



Assist in processing bi-weekly payroll using ADP or equivalent system.

Maintain payroll records and ensure compliance with federal and provincial regulations.

Respond to employee inquiries related to payroll and time reporting.

Track and process vacation, sick time, and leave of absence.

Support year-end payroll processes, including T4s and ROEs.

Finance and Accounting Support:



Support month-end and year-end closing activities.

Maintain financial records and documentation in compliance with audit standards.

Assist with accounts payable and receivable as needed.

Coordinate and track staff expense reports and credit card reconciliations.

Assist with cash deposit on a biweekly basis

Administrative and Clerical Duties:



Maintain organized digital and physical filing systems for payroll and finance documentation.

Schedule and coordinate finance-related meetings and deadlines.

Liaise with other departments to gather necessary documentation or resolve payroll/finance-related issues.

Perform other duties as assigned by the Finance & Payroll Team and the Chief Operating and Financial Officer.

Secondary Responsibilities



Additional responsibilities may be assigned.

Maintain accurate records, streamline administrative processes, and support strategic initiatives with precision and efficiency.

Qualifications



Diploma or certificate in Accounting, Payroll, or related field.

2+ years of experience in payroll and finance administration.

Familiarity with payroll systems (e.g., ADP Workforce Now) and accounting software (e.g., Sage Intacct preferred).

Strong proficiency in Microsoft Excel and other Microsoft Office applications.

Excellent organizational and time management skills.

High attention to detail and accuracy.

Ability to handle sensitive and confidential information with discretion.

Experience in a nonprofit or community organization is an asset

Salary and Benefits



Annual salary range: $40,000 - $50,000 commensurate with experience.

Working Conditions



Hybrid role with 2-3 days per week required on-site.

Work location - Miles Nadal JCC, 750 Spadina Avenue.

Availability for occasional evenings/weekends and off-site meetings.
