Summary
We are seeking a Payroll Coordinator to join our team in Canada. This role is vital in ensuring accurate payroll processing and supporting our company's mission of professional excellence. Responsibilities
Draft payroll worksheets (weekly, bi-weekly, and monthly) for all staff types -- including employees, contractors, and virtual assistants -- and submit to Payroll Manager for review and approval.
Calculate and validate payroll inputs including time off, overtime, vacation, stat holidays, commissions, bonuses, and deductions.
Maintain payroll general ledger entries and ensure alignment with payroll classifications, CRA/IRS requirements, and internal accounting records.
Onboard new hires and contractors into all payroll systems and worksheets, including banking details, tax forms, time tracking, and compensation documentation.
Manage updates to payroll profiles related to changes in employment status, roles, compensation, or personal details.
Offboard staff by processing final payments, benefit terminations, ROEs, and updating payroll records and systems in accordance with regulations.
Draft and distribute standard payroll reports, compensation summaries, and headcount analytics for Finance and Executive review.
Track legislative updates impacting payroll (e.g., minimum wage, statutory holidays, classification changes) and notify Payroll Manager of relevant changes.
Support the Payroll Manager in preparing documentation and reconciliations for internal and external audits.
Contribute to budgeting, forecasting, and payroll process improvement discussions as requested.
Identify and recommend improvements to payroll processes, tools, or documentation to enhance efficiency, accuracy, or compliance.
Provide administrative and compensation support for internal company programs and events, such as bonuses, contests, and incentive payouts.
Professional Development: Identify and pursue ongoing professional development opportunities for self including certifications, regulatory updates, and training on tools or processes relevant to payroll operations and compliance.
Experience and specialization Computer and technology knowledge
2-4 years of experience in payroll coordination or payroll administration Experience managing payroll for multiple staff types (employees, contractors, VAs) Proficient with payroll software (e.g., ADP) and Excel-based payroll processing Experience in high-volume, deadline-driven environments Exposure to commission-based and incentive-based compensation is an asset Experience collaborating across departments (Finance, HR, Operations) preferred
