Reporting to the Director of Finance, the Payroll and Office Specialist will be responsible for ensuring accurate and timely processing of employee compensation by leading a key role in administering payroll and benefits across the different platforms for the whole organization. In addition, you will help carry out administrative support to the office and members of the leadership team as needed. You interact with many different stakeholders and it's important that you can proactively and independently make decisions and carry out tasks to support their administrative needs. The ability to communicate effectively and tailor your approach as needed is essential.
Responsibilities:
Payroll and benefit administration (60%):
o Assist in new hire paperwork, from recruiting posting to new hire papers o Maintain a good record of employee related documents in the company HR system o Verify accuracy of all payroll-related data for hourly and salaried employees and ensure all hourly hours are approved prior to the payroll cutoff time in each pay cycle (26 pay cycles in a fiscal year) o Maintaining the payroll and stat holidays calendars once a year
o Be the main contact for all payroll and benefit related questions and responsible for working with Executive and Department Leaders, for the appropriate responses
o Be very proficient in operating the different payroll/ HR systems
o Using the integrated time tracking and payroll system to process employee payroll in each cycle timely and accurately
o Advising all employee onboarding and offboarding related questions
o Responsible for coordinating with our health benefits service providers to ensure all communication and paperwork for new and departing employees are completed
o Responsible for calculating the final payments in all employee offboarding calculations
o Advising any compliance and regulatory changes in the jurisdiction that the company operates, working with external expert if necessary
Office administration (40%):
o Monitor and order office supplies
o Coordinate routine office services
o Responsible for arranging for building maintenance and other emergency services with our landlord or other vendors
o Ensure the office cleanliness at all time
o Maintain a good record of the company corporate documents
o Responsible for procuring and tracking all company's assets such as office equipment, laptops, key fobs, alarm codes, etc
o Responsible for picking up mails and coordinating all office courier
o Assist in company's meeting preparation (presentation and meeting set up) o Responsible for preparing selective executive expense reports accurately and timely (once a month)
o Any other supports as required by the executives from time to time
What we are looking for:
o you will be on site full-time in our Vancouver office.
o 3+ years of relevant experience, general working knowledge of payroll o Strong written and verbal communication skill
o Self-motivated individual with the ability to focus
o Ability to work independently and manage your area of responsibilities with minimal oversight.
o Exceptional organizational, time management and prioritization skills, including the ability to multi-task with competing priorities and demands in a high-energy environment.
o Ability to understand what truly matter to the business and cut through the noise o Strong analytical and problem-solving skills, be able to think on your feet
o Highly proficient in Office 365 including MS Word, Excel, Outlook, Teams and Sharepoint.
