KW Vein Clinic is a leading healthcare provider located in Kitchener, specializing in vascular surgery and cosmetic treatment of varicose veins. The practice serves a mix of OHIP and private pay patients, offering both public and private healthcare services.
Position Summary
We are seeking a motivated and highly organized Patient Coordinator to join our team, with a particular focus on cosmetic and private pay procedures. The successful candidate will interact with both public and private patients and receive on-site training at the clinic.
Preference will be given to applicants with a minimum of two years of relevant experience in a medical office and familiarity working with private pay patients. This role requires frequent patient-focused interactions, emphasizing strong communication and empathy skills. The Patient Coordinator will collaborate with a team of vascular surgeons and nurses who provide cosmetic vein treatments.
Key Responsibilities
Greet and welcome patients, ensuring they have a positive and comfortable experience at the clinic.
Arrive punctually for clinic hours, and respond to telephone calls and emails between 9:00 a.m. and 5:00 p.m. Occasional evening and weekend shifts may be required.
Provide patients with information about office hours, services covered by OHIP and those privately billed, and descriptions of procedures offered.
Schedule appointments, manage patient flow, and triage online inquiries and referrals.
Arrange diagnostic testing, including ultrasound, CT scans, and blood work.
Coordinate appointments with local hospitals as needed.
Direct patients to examination rooms and assist with examinations when necessary.
Verify insurance eligibility, correct OHIP remittance errors, and process both OHIP and private billings.
Maintain and update patient medical records and files as required.
Support administrative tasks such as filing, photocopying, faxing, and scanning documents.
Assist with clinical tasks under the supervision of medical professionals.
Help with light cleaning duties, ensuring the reception area and exam rooms remain tidy and organized.
This is an in-person, client-facing front desk position; remote work is not available.
Qualifications
Demonstrates professionalism in appearance, communication, attitude, and honesty.
Possesses a high school diploma or equivalent; a medical secretary diploma is considered an asset.
Has previous experience working in a medical office or a cosmetic practice.
Exhibits excellent communication and interpersonal skills.
Is proficient in computer applications including Microsoft Office Suite, Excel, email, and Windows; expert proficiency in email and working within an EMR is required.
Experience with Accuro EMR is an asset.
Capable of working independently and as part of a team.
Demonstrates attention to detail and accuracy.
Maintains strict privacy and confidentiality at all times.
Benefits
Salary ranges from $28 to $34 per hour, depending on qualifications and experience.
This is a full-time position.
